We are seeking a highly organized and proactive Administrative Assistant to support daily office operations and ensure the smooth functioning of administrative workflows. The ideal candidate will be detail-oriented professional and capable of managing multiple tasks efficiently in a fast-paced environment.
Job Responsibilities
Administrative Support
- Manage daily office activities including scheduling correspondence and documentation.
- Maintain and update filing systems (physical and digital).
- Handle incoming and outgoing communication (emails phone calls letters).
- Prepare and format reports memos and presentations.
Office Management
- Coordinate meetings events and travel arrangements for staff.
- Maintain office supplies inventory and place orders when necessary.
- Support the onboarding process for new employees (document collection workspace preparation).
- Ensure compliance with company policies and Saudi labor/administrative requirements.
Coordination & Communication
- Act as the point of contact between internal teams management and external stakeholders.
- Assist in organizing departmental schedules calendars and appointments.
- Support HR and Finance departments with basic administrative tasks when needed.
Document Control
- Maintain confidentiality of sensitive information.
- Prepare review and distribute internal documents.
- Ensure proper archiving of records in accordance with company standards.
Qualifications :
Education
- Diploma or Bachelors degree in Business Administration Office Management or a related field.
Experience
- 13 years of experience in administrative or office support roles (experience in Saudi Arabia is a plus).
Skills
- Excellent written and verbal communication skills in English; Arabic proficiency is an advantage.
- Strong organizational and timemanagement skills.
- Proficiency in Microsoft Office Suite (Word Excel PowerPoint Outlook).
- Ability to multitask and work with minimal supervision.
- Professional demeanor with strong interpersonal skills.
