The Events & Catering Executive is responsible for supporting the planning coordination and execution of all events meetings and catering functions at the property. This role ensures the seamless delivery of exceptional guest experiences by managing client relationships coordinating with internal departments and maintaining operational excellence from inquiry to post-event follow-up.
Key Responsibilities
1. Sales & Client Management
Respond to event and catering inquiries promptly and professionally.
Prepare proposals quotations contracts and banquet event orders (BEOs) in line with brand and operational standards.
Conduct site inspections and client meetings to understand event objectives and requirements.
Build and maintain strong relationships with existing and potential clients to drive repeat and referral business.
Support the Events & Catering Manager in achieving revenue targets and sales goals.
2. Event Coordination & Execution
Coordinate with relevant departments (Culinary Banquets Housekeeping Front Office etc.) to ensure all event details are clearly communicated and executed flawlessly.
Manage event timelines floor plans and catering logistics to ensure smooth delivery.
Oversee event setups and provide on-site support as needed.
Ensure compliance with brand standards health and safety regulations and guest satisfaction expectations.
3. Administration & Reporting
Maintain accurate records of bookings contracts and client communications in the propertys event management system.
Prepare daily weekly and monthly event reports and revenue summaries.
Monitor billing deposits and final payments ensuring accuracy and timely collection.
Support post-event feedback collection and analysis to enhance future service delivery.
4. Collaboration & Continuous Improvement
Work closely with the Sales Marketing and Operations teams to develop creative event concepts and packages.
Stay updated on market trends competitor activities and guest preferences.
Contribute to departmental meetings training and service improvement initiatives.
Qualifications :
Qualifications & Experience
Bachelors degree in Hospitality Management Business Administration or related field preferred.
Minimum 23 years of experience in event planning catering sales or a related hospitality role.
Strong knowledge of event management processes catering operations and hotel systems.
Excellent communication negotiation and organizational skills.
Proficiency in MS Office and event management software (e.g. Delphi Opera or similar).
Ability to work flexible hours including weekends and holidays based on event schedules.
