ملخص الوظيفة

Our client is seeking a highly organized proactive and discreet Executive Office Manager/CEO Assistant to provide comprehensive administrative and operational support to our CEO and the Executive Office.

This critical role requires exceptional attention to detail a strong ability to anticipate needs and the capacity to thrive in a demanding high-profile environment.

Key Responsibilities:

  • Executive Support:

    • Manage and maintain the CEO's complex calendar including scheduling meetings appointments and travel arrangements (domestic and international) ensuring optimal time management.

    • Act as the primary point of contact for the CEO screening and prioritizing incoming communications (emails calls mail) and responding professionally on their behalf when appropriate.

    • Prepare and edit correspondence reports presentations and other documents ensuring accuracy clarity and adherence to company branding.

    • Coordinate and prepare materials for board meetings executive team meetings and investor calls.

    • Conduct research compile data and prepare summaries as needed for various projects and initiatives.

    • Manage confidential information with the utmost discretion and integrity.

  • Office Management:

    • Oversee the efficient operation of the Executive Office ensuring a professional and organized environment.

    • Manage office supplies equipment and vendor relationships relevant to the executive suite.

    • Coordinate and organize internal and external company events meetings and conferences including venue selection catering and logistical support.

    • Process expense reports invoices and other financial documentation for the CEO and Executive Office.

    • Serve as a liaison between the CEO and other departments external partners and high-profile individuals.

Qualifications:

  • A bachelor's degree or equivalent practical experience is preferred.

  • Minimum of 3 years of experience supporting C-level executives in a fast-paced environment preferably within the entertainment media or related creative industries.

  • Exceptional organizational and time management skills with the ability to multitask prioritize and manage competing demands effectively.

  • Advanced proficiency in Microsoft Office Suite (Outlook Word Excel PowerPoint) and experience with calendar management software.

  • Female Candidates Preferred.
