Job Responsibilities · Operations * Assisting Partners and Professional Staff in all administrative functions including, but not limited to: * Managing Partners’ desk, email, and calendar; Digitizing documents; Document duplication; Database copying * Other projects assigned may include: * Preparing spreadsheets; General office upkeep and inventory management; Personal Appointments as needed; Ordering supplies/snacks and restocking; Mailing and shipping; Reserving conference rooms for meetings; Coordinating Partners’ flights and hotels for firm events * Compliance * Assist advisor and other staff members in maintaining a compliant practice, including files and books and records * Understand and adhere to the firm’s and Broker Dealer’s risk and regulatory standards, policies, and controls * Assist clients, advisor, and other staff members to the extent possible based on licensing and registrations * Work with Compliance to ensure marketing and presentation materials are properly approved prior to use · Client Care o Communicate professionally with all clients (consisting of retirees, high net worth individuals, business owners, and executives) Requirements & Experience · 1-2 years’ experience in administrative work · Experience with Client Relationship Management (CRM) software (preferred) · 4 Year/Bachelor’s degree or equivalent work experience (preferably in business or finance) · Proficient with Microsoft Outlook, Word, Excel and PowerPoint · Ability to multitask * Excellent communication skills both spoken and written. * Ability to work independently, be organized and detailed.
