Job Summary

Position Summary

The Institutional Research and Reporting Coordinator aids with comprehensive research and reporting services provided by the Office of Institutional Effectiveness Research and Planning. The Coordinator collects and analyzes data to generate reports for internal and external stakeholders and is the local contact for required state and federal reporting requirements. The Coordinator acts as a liaison with departments as the single point of contact for data and analysis needs to support decision making.

Essential Duties and Responsibilities

At a minimum the essential functions of this position shall include:


  1. Completes local state and federal regulatory reports including all Alabama Community College System and Alabama Commission on Higher Education required reporting.
  2. Serves as the Colleges Integrated Postsecondary Education Data System (IPEDS) keyholder.
  3. Assists in the compilation and sharing of institutional data as requested to promote data driven decision making.
  4. Monitors and reports required student achievement measures in accordance with accreditation requirements.
  5. Provides support for accreditation requirements including substantive change monitoring notifications and approvals and the monitoring of off-campus instructional sites.
  6. Provides data for college-wide publications related to student success and institutional research.
  7. Performs queries and prepares reports via Argos Data Access and Exchange (DAX) or other database reporting tools.
  8. Extracts data to support academic program reviews and other ad hoc requests to support decision making.
  9. Utilizes data visualization techniques in institutional dashboards and reporting.
  10. Enhances data literacy across campus by identifying and providing data needed for planning and institutional effectiveness and improvement.
  11. Monitors program graduates career placement licensure pass rates employment data and other statistical data points for student success metric tracking required for accreditation.
  12. Holds primary reporting authority for the performance of more than thirty programs in accordance with Workforce Innovation Opportunity Act (WIOA) for Alabama and surrounding states.
  13. Coordinates cross-departmental reporting for the Perkins Needs Assessment and the corresponding performance metrics.
  14. Assists in tracking program performance data as required for Gainful Employment and Financial Value Truancy federal reporting.
  15. Assists with presentations of institutional data state and federal reporting results and achievement data to college stakeholders.
  16. Assists with major projects of the Office of Institutional Effectiveness Research and Planning to include accreditation and strategic initiatives.
  17. Supports the functions of the office as required (scheduling meetings submission of purchase requisitions and required documentation software agreements office website management etc.)
  18. Shows evidence of maintaining and expanding professional competencies through activities such as continuing education membership in professional organizations and participation in related local and state activities.

Qualifications

Required Qualifications


  1. Bachelors degree in a related field from a regionally accredited institution OR equivalent recent relevant full-time work experience (two years of full-time recent relevant work experience for every one year of college).
  2. Five years of demonstrated related work experience.
  3. Ability to utilize Excel or other databases to analyze information and prepare reports with pivot tables and other methods.
  4. Experience working with numerical data.
  5. Ability to keep complex records and prepare accurate reports.
  6. Ability to work independently and in a team environment.
  7. Ability to multi-task and prioritize responsibilities.


Preferred Qualifications


  1. Knowledge of Banner with the ability to perform query functions and utilize ARGOS reporting.
  2. Knowledge of local state and national community college issues; academic and student development programs; federal and state reporting; accreditation requirements; institutional effectiveness and student learning outcomes; development of assessment tools.
  3. Experience in institutional research.
  4. An understanding of and commitment to the philosophy and mission of a comprehensive community college.
  5. Commitment to all students and faculty including those of diverse cultures and ethnic backgrounds.
  6. An understanding of the broad range of students abilities in an open admissions college and the ability to communicate to the community college student population.
