We are looking for a highly organized proactive and service-oriented Management Assistant to support senior leaders within our NPE Division. Acting as a trusted partner you will ensure smooth day-to-day operations enable an effective leadership environment and contribute to strong collaboration across a global organization.
This role goes beyond traditional administrative supportyou will play a key part in driving operational efficiency facilitating coordination across teams and geographies and supporting continuous improvement through digital and innovative ways of working.
Responsibilities / Tasks
Executive & Administrative Support
Provide proactive administrative and organizational support to senior leaders
Manage complex calendars across different time zones ensuring effective prioritization of meetings and business activities
Handle sensitive business and people-related information with the highest level of discretion and confidentiality
Support follow-up on action items deadlines and key initiatives
Travel & Expense Coordination
Organize international and domestic travel including flights accommodation visas and logistics
Manage travel expenses purchase orders and invoice follow-up in line with company policies
Meetings Events & Communication
Coordinate leadership meetings workshops town halls and team events
Prepare high-quality presentations reports and meeting materials
Support internal communication activities including announcements newsletters and leadership updates
Stakeholder & Organizational Coordination
Act as a central coordination point across functions countries and leadership teams within the NPE organization
Collaborate with HR Finance Procurement IT and Communications teams
Maintain organizational charts distribution lists and team information
Coordinate onsite meetings and leadership visits including logistics and agenda preparation
Operational Excellence & Continuous Improvement
Identify opportunities to simplify administrative processes and improve efficiency
Support the adoption of digital tools and AI-based solutions
Contribute to modern professional communication and collaboration standards
Your Profile / Qualifications
Experience & Education
Bachelors degree in Business Administration Management Assistance or a related field (preferred)
35 years of experience in a similar management or executive assistant role
Experience supporting senior leadership in an international or matrix environment
Skills & Competencies
Strong organizational and multitasking skills with high attention to detail
Excellent communication and interpersonal abilities
High level of professionalism discretion and reliability
Proactive solution-oriented mindset with the ability to work independently
Technical Skills
Advanced proficiency in Microsoft Office (Outlook PowerPoint Excel Teams; Power BI is a plus)
Digital mindset with interest in process optimization and AI tools
Languages
Fluent English and Spanish required
Additional languages are a plus
