We are supporting our client by hiring an experienced Project Coordinator (PMO) to join their team.
Job Purpose Summary:
Support the effective implementation of the companys Project Management Office (PMO) framework by coordinating project reporting monitoring project performance maintaining governance registers and ensuring projects comply with the company policies procedures and the Delegation of Authority (DoA).
Roles & Responsibilities:
- PMO Governance & Compliance:
- Support the implementation and continuous improvement of the PMO framework across the company projects.
- Ensure project activities comply with the company policies procedures and the approved Delegation of Authority (DoA).
- Assist in maintaining standardized project management templates procedures and reporting formats.
- Support the PMO in ensuring that all projects follow the approved project lifecycle and governance requirements.
- Monitor adherence to internal controls and escalate deviations or governance issues to the Director PMO
- Project Monitoring & Performance Tracking:
- Collect and consolidate project performance data across all the company projects.
- Monitor project progress against approved schedules budgets and milestones.
- Identify schedule delays cost deviations or performance risks and report them to the PMO Director.
- Maintain project dashboards and progress tracking tools to provide management with a clear overview of project performance.
- Track key project indicators and support the preparation of periodic performance reports.
- Risk Management & Corporate Registers:
- Maintain the company Corporate Risk Register and track the implementation status of mitigation measures.
- Follow up with departments and project teams on risk mitigation actions and report outstanding risks.
- Assist in identifying emerging risks and escalate them through the appropriate reporting channels.
- Maintain supporting documentation related to risk management activities
- Strategic KPI Monitoring:
- Track and report Key Performance Indicators (KPIs) related to the company departments and strategic initiatives.
- Support management in monitoring organizational performance against strategic targets.
- Prepare periodic KPI performance summaries and dashboards for management review.
- Assist departments in gathering and validating KPI performance data.
- Executive Coordination & Meeting Management:
- Coordinate executive meetings and follow up on strategic action points.
- Prepare meeting agendas supporting materials and presentations where required.
- Attend meetings and record accurate minutes of meetings.
- Track agreed action points and follow up with responsible departments to ensure timely completion.
- Maintain a structured record of meeting outcomes and decisions
- Reporting & Presentation Support:
- Prepare internal reports presentations and briefing materials for senior management.
- Assist the PMO Director in preparing reports for executive meetings and management reviews.
- Consolidate inputs from multiple departments into structured presentations and reports.
- Ensure reporting formats remain consistent with the company corporate standards.
- Resource Coordination:
- Monitor the allocation and utilization of internal and external resources across the company projects.
- Assist in identifying resource constraints or conflicts across projects.
- Support coordination between departments to ensure efficient resource utilization.
- Maintain updated records of project team allocations where required
- Quality Management & Audit Support:
- Assist in internal and external audits related to quality management systems.
- Support compliance with relevant ISO standards and quality management requirements.
- Maintain documentation required for quality audits and compliance reviews.
- Follow up on corrective actions resulting from audit findings
- Documentation & Knowledge Management:
- Maintain organized project documentation and centralized project records.
- Ensure project documentation is properly archived in accordance with the company document retention policies.
- Support the PMO in maintaining lessons learned and project knowledge repositories.
- Ensure accurate version control and accessibility of project documentation.
Skills:
- Technical / Functional Skills:
- Knowledge of project management principles and PMO practices (PMI/PMBOK aligned).
- Experience in project planning scheduling and tracking.
- Familiarity with project management tools (MS Project or similar).
- Understanding of project documentation and reporting requirements.
- Basic knowledge of risk and issue management.
- Familiarity with ERP systems and reporting tools (advantage).
- Professional Skills:
- Strong organizational and coordination skills.
- Attention to detail and accuracy in reporting and documentation.
- Good communication and stakeholder coordination abilities.
- Ability to manage multiple tasks and deadlines.
- Problem-solving mindset and proactive approach.
- Ability to work within structured governance frameworks.
Education:
BSc Degree in Engineering or any relevant field. MSc is a plus.
Certificates:
Relevant PMI certificates are of added value such as:
- PMI-PBA (Professional in Business Analysis)
- PMI-RMP (Risk Management Professional).
Computer Literacy:
- Computer literate.
- Proficient in MS Office.
Languages:
Arabic and English fluent.
Experience
- 7 Years of relevant experience.
