Job Description:

Our client is seeking an Administrative and Operations Assistant to oversee various functions within their organization. This role involves collaborating with different departments and maintaining efficient administrative processes.

Responsibilities:

  • Facilitate communication and reporting with the construction department within our overseas division, encompassing various responsibilities such as data collection, health and safety management, and updates for employees in China and our headquarters.
  • Foster communication with the South Africa-China economic and trade association, encompassing duties like delivering monthly business briefings and sharing investment insights with relevant stakeholders as scheduled.
  • Enhance departmental activities and operational efficiency by aligning contract conditions with actual project activities and progress achieved during specified timeframes.
  • Oversee the progression of contract drafting in coordination with relevant departments to facilitate the onboarding process for contractors and suppliers.
  • Deliver punctual reports and create compelling progress presentations and proposals.
  • Collaborate with the procurement and operational departments to draft, review, revise, and terminate contracts as needed.
  • Act as a liaison between the head office and external parties, facilitating document translation from Mandarin to English and vice versa.
  • Exercise financial control by managing costs and budgets associated with all contractors.
  • Perform general administrative duties, including but not limited to meeting scheduling, calendar management, and minute-taking.
  • Manage administrative responsibilities related to the mine site, including contractor management and project/production reporting as required.
  • Ensure unwavering compliance with health and safety standards.

Requirements: Qualification and Skill

  • (National Senior Certificate (Grade 12) or equivalent.
  • National Diploma in Management / Finance / Accounting or similar field.
  • Bachelor’s Degree in Commerce or Arts in Finance / Accounting / Management highly advantageous.
  • Certificate in Project Management / Accounting / Finance highly advantageous.
  • Minimum of 3 years’ experience in contract management.
  • Experience working on Project Management Systems (PMS) advantageous.
