Job Description:

Roles And Responsibilities:

  • Program/Project Management support is required daily though each of the specific subtasks listed below may not occur daily or be supported in every office. Unless specific schedules for deliverables are provided the Contractor shall assume performance may be required daily.

Program/Project Management

  • The Contractor shall be responsible to complete and perform the following requirements:
  • A program manager will be responsible for assisting the OES Front Office in their management and oversight of the OES Divisions and their respective projects.
  • Work across multiple projects to highlight identify and build on interdependencies with OES Work with the OES leadership to assist their management of individual projects.
  • Assist in the facilitation of communication between crossfunctional teams.
  • Collaborate with Division Directors to ensure that programs/projects align with OES overall strategy and management plan.
  • Work with OES Leadership to develop a robust communications plan to deliver monitor and manage internal and external communications.

Executive Administration Support

  • Executive administrative support is required as part of this requirement. The executive assistant will provide highlevel administrative support to key stakeholders and department leaders within KMO offices.
  • The contract shall provide the following Executive Administrative Support:

Calendar Management:

  • Schedule and manage appointments meetings and conferences for department leads.
  • Coordinate with internal and external stakeholders to ensure availability and scheduling efficiency.
  • Set reminders and provide timely updates on upcoming events.

Travel Arrangements:

  • Arrange domestic and international travel for department leads including flights accommodations and ground transportation.
  • Prepare travel itineraries and ensure all necessary travel documents are obtained.
  • Coordinate with travel agencies hotels and car rental companies to secure the best rates and accommodations.

Correspondence and Communication:

  • Manage email correspondence on behalf of the department leads draft and proofread emailsand prepare responses.
  • Screen incoming calls and direct them to the appropriate parties
  • Prepare and edit documents presentations and reports as requested.

Meeting Support:

  • Prepare meeting agendas take meeting minutes and distribute them to relevant stakeholders.
  • Coordinate logistics for meetings including booking meeting rooms arranging audiovisual equipment and organizing catering.
  • Follow up on action items and deadlines resulting from meetings.

Information Management:

  • Maintain an organized filing system for documents reports and other relevant materials.
  • Conduct research and gather information to support department leads in decision making processes.
  • Create and update databases contact lists and organizational charts.

Project Support:

  • Assist in project planning tracking and coordination.
  • Collaborate with team members to ensure project deadlines are met.
  • Compile and analyze data prepare project status reports and provide updates to department leads.

Confidentiality and Discretion:

  • Handle sensitive information with utmost confidentiality and discretion.
  • Maintain a high level of professionalism and integrity in all interactions.
  • Adhere to company policies and procedures regarding information security and data protection.

Administrative Support:

  • Process expense reports invoices and purchase orders
  • Manage office supplies equipment and maintenance requests.
  • Provide general administrative support to department leads as needed.

Relationship Management:

  • Build and maintain positive relationships with internal and external stakeholders.
  • Act as a liaison between department leads and other departments clients and vendors.
  • Coordinate and organize special events including teambuilding activities and employee recognition programs.

Continuous Improvement:

  • Identify opportunities for process improvement and efficiency enhancement.
  • Propose and implement solutions to streamline administrative tasks.
  • Stay updated on industry trends best practices and new technologies relevant to executive support.
  • The Contractor executive assistant support may be required to perform other duties as assigned
