Role
We are seeking a highly organized and proactive Executive Assistant/Secretary to provide comprehensive administrative support to the CEO of our client. The ideal candidate should possess exceptional communication skills attention to detail and the ability to multitask effectively in a fastpaced environment. The Executive Assistant/Secretary will play a pivotal role in maintaining smooth operations and facilitating efficient communication within the organization.
Responsibilities:
- Provide administrative support to the CEO including managing calendars scheduling appointments and arranging meetings.
- Coordinate travel arrangements including flight bookings hotel accommodations and transportation arrangements.
- Prepare and edit correspondence presentations and reports as required.
- Act as the primary point of contact for internal and external stakeholders including screening phone calls emails and visitors.
- Maintain filing systems both electronic and physical ensuring efficient organization and easy retrieval of documents.
- Assist in preparing agendas and taking minutes during meetings as well as followup on action items.
- Handle confidential information with discretion and maintain confidentiality at all times.
- Assist in organizing company events conferences and seminars including logistics catering and materials preparation.
- Perform general office duties such as photocopying scanning filing and mail distribution.
- Collaborate with other administrative staff to ensure seamless operations and support across departments.
- Undertake adhoc tasks and projects as assigned by the executive team.
Requirements:
- Proven experience as an Executive Assistant Secretary or similar role preferably supporting senior executives.
- Proficiency in Microsoft Office suite (Word Excel PowerPoint Outlook) and other relevant software applications.
- Excellent organizational and time management skills with the ability to prioritize tasks and meet deadlines effectively.
- Strong interpersonal skills and the ability to communicate confidently and professionally with individuals at all levels.
- High degree of discretion and confidentiality with the ability to handle sensitive information appropriately.
- Detailoriented with a commitment to accuracy in all tasks.
- Ability to work independently with minimal supervision and as part of a team.
- Flexibility and adaptability to changing priorities and deadlines.
- Bachelors degree in Business Administration Secretarial Studies or a related field is preferred.
- Additional certifications or training in office administration or executive assistance is a plus.
