Background / Introduction:
For more than 25 years Vital Voices Global Partnership (Vital Voices) has been investing in women leaders solving the worlds greatest challenges. We are venture catalysts identifying those with a bold vision for change and partnering with them to make that vision a reality. We scale and accelerate their impact through longterm investments to expand the skills connections capacity and visibility of women leaders.

In aligned with our mission Vital Voices plans to organize a Global Summit of up to 100 women leaders from around the globe in Warsaw Poland in June 2024. These women are leading movements for peace speaking truth to disinformation and digital dictatorship fighting for justice rooting out advocating and inventing ways to save our planet from the impeding climate crisis and fostering economic opportunities for all. At this solutionsoriented threeday gathering they will share successful strategies and develop plans for a global collective action campaign that will ignite the full force of the Vital Voices Global Network.

This year will mark an important global referendum on the rights and inclusion of women in positions of leadership in business government activism and civil society. In 2024 estimates suggest that nearly 2 billion people will cast a ballot. They will answer a fundamental question: Will the world continue to backslide into authoritarianism or will we reaffirm the values of human rights and freedom for every person on the planet

Project Goals and Scope of Services
Vital Voices is seeking a consultant with significant experience in project management to serve as the project lead for the Vital Voices Global Summit. The consultant will be responsible for leading all aspects of summit preparation and execution. They will be assisted by a strategic lead and technical advisors. They will support in defining the participants content outcome and purpose of the Summit. In addition the core project team will include a dedicated planner and surge staff to assist in the Summits execution. A logistics firm or dedicated professional may be provided as an additional resource.

Key Responsibilities

• Create a workplan and milestone for successful project delivery
• Coordinate the project team as well as external and internal stakeholders
• Establish and execute a process for selection of participants and Summit content
• Coordinate the administration and logistics of the Summit
• Provide advisory services on the format and execution of the Summit
• Identify and execute formats that engage Summit participants and that are interactive
• Revise and advise on the Theory of Change and design of the Summit to establish sustainable outcomes.
• Other duties as assigned

Key Accountabilities
The anticipated hours needed to provide services are 2030 hours per week depending on the demands and timeline of the project. The expected contract duration is through June 2024.

Proposal Deadline: January 26 2024 (5 PM ET)

Responses must be received no later than 5 PM on January 26 2024 and should be clearly marked Attention: Proposal for Global Summit in the subject of the email.

Questions about the RFP can be submitted to not later than January 23 2024 at 5 PM ET.

Elements of Proposal
A submission must at a minimum include the following elements:

• A Resume
• A no more than onepage narrative outlining experiences strengths and distinguishing skills or capabilities as they relate to the Project goals and scope of services.
• Three professional references

Qualifications

• A demonstrated track record of serving in project management roles of similar scope and purpose
• Significant experience in advisory services related to facilitation consensus based decision making and multistakeholder engagement
• Experience in datadriven and resultsbased project delivery for example monitoring and evaluation frameworks and theory of change.
• Knowledge or previous working experience with Vital Voices its senior leadership and international development projects.
• Ability to travel to Poland up to two times during the project implementation including up to two weeks aligned with the Summit in June 2024.
• Excellent oral and written communication skills (including public speaking) and strong interpersonal skills;
• Exemplary communications reading and writing in English required

A successful respondent will:

• Demonstrate that they have the expertise skills and capabilities to successfully provide the requested services
• Offer a competitive cost for services
• Ability to work independently with the flexibility to adapt to the needs of the team.
• Excellent interpersonal written and oral communication skills required.
• Proficiency with Microsoft Office; intermediate level or higher Microsoft Excel skills strongly preferred.
• Ability to collect organize analyze and disseminate significant amounts of information with attention to details and accuracy.
