Job Description

Support to the Office of the Managing Partner (OMP)

  • Preparation, research and review of internal and external communication
  • Carry out periodic audits forregulatory and governance compliance
  • Meetings preparation and follow-up
  • Attending meetings and events on behalf of the OMP office
  • Advise on process improvement based on experience and feedback from stakeholders
  • Monitoring execution of the firms strategic plan
  • Coordinate teams for execution of strategy/initiatives
  • Act as a change agent ensuring firm wide support for changes/new ways of doing things
  • Support firms committees in tracking and implementation of initiatives
  • Support projects and responsibilities assigned by the Managing Partner (MP)

Practice Group Strategy Support

  • Work with Practice Groups to develop process improvement initiatives, including automation and use project management tools to improve efficiency and productivity

Results Monitoring Office

  • Track implementation of Business Support Services (BSS) work plans/action points
  • Update dashboards for Key Performance Indicators
  • Communicate expectations, changes, risks and devise contingent plans to key stakeholders
  • Prepare reports for strategy execution
  • Manage multiple projects concurrently

Firm alignment

  • Coordinate projects and initiatives while working in a cohesive manner to realize the Firm s vision and objectives
DLA Piper Alignment
  • Implementation and tracking of the national Pole Positioning project
  • Coordination and implementation of all DLAP alignment initiatives
Sustainability, Environmental, Social and Governance ( SESG ) Plan
  • Assist in the development of the Firm s SESG plan and related compliance policies and procedures
  • Coordinate the SESG initiatives and compliance with the Firm s regulatory requirements
  • Carrying out an annual audit to identify all key potential SESG impacts and risks and propose interventions to eliminate or mitigate such impact and risks
  • Preparing annual report on the Firm s SESG status
  • Carrying out regular internal SESG training and ensure implementation and compliance
  • Carrying out regular training on SESG good practices
Special Projects
  • Execution of the Firm s projects that may fall outside the scope of regular duties
  • Brainstorming, design, and execution of new projects including development of key performance indicators and monitoring metrics
  • Developing project plans and coordinate approvals with key stakeholders and internal work stream partners
  • Estimating the resources and participants (staffing) needed to achieve project goals and provide input in the budget-creation and matter work plan-creation process
  • Coordinating and/or supervising the activities of personnel involved in the development and implementation of special projects
  • Ensuring the scope of a project fits the budget and that each phase of the project is completed within the scheduled timelines
  • Coordinating and directing internal and external resources as required
  • Building, developing and growing any business relationships vital to the success of a project


Requirements

Qualifications and experience
  • Diploma in Law (Paralegal)
  • At least 4 years of experience working in a commercial legal team/department
  • Proficiency in MS Word, Excel and PowerPoint
  • Project Management skills
  • Drafting skills
Technical Skills
  • Strong strategic, business and communication skills (oral & written)
  • Sound knowledge and understanding of the operations of a law firm
  • Ability to support major business change initiatives with strong stakeholder management skills across all levels of the firm.
  • Excellent project management and organizational skills.
  • Must have strong probing, consultative listening skills coupled with the ability to negotiate and persuade clients and colleagues
  • Strong influencing and negotiation skills
  • Excellent business and report writing skills
  • IT literate - experience of Excel, Word, PowerPoint and Outlook
