Are you ready to be the face of our dynamic workplace Were seeking a proactive and versatile Places Assistant to play a pivotal role in ensuring the smooth and efficient operation of our Gravita offices.

The Role

As a Places Assistant youll be the first point of contact for all clients and visitors at Gravitas London office providing a first class service whilst also being a key part of the team that keeps our office space warm and welcoming to all. Heres what youll do:


Key Responsibilities

Front of House

  • Be the welcoming face of Gravitaproviding a professional reception service.
  • Coordinate external and internal functions with precision from meet and greets to room setups and catering arrangements.

Office Environment:

  • Maintain a wellstocked and pleasant working environment by monitoring supplies and contributing to a positive office atmosphere.
  • Assist in setting up workstations and meeting rooms with IT equipment ensuring a seamless experience for our team (with the support of the Tech team.

Health Safety & Wellbeing

  • Support health and safety initiatives by conducting regular checks handling first aid and participating and leading in training programs.
  • Contribute to a healthy and safe workplace through active involvement in campaigns and initiatives.

Efficient Correspondence & Document Management

  • Handle mail processes franking and document printing ensuring seamless communication within and outside the organization.
  • Take charge of document archiving maintaining compliance with data retention policies.

Office Security

  • Manage office security passes and keys maintaining compliance with the Clear Desk Policy.
  • Report any noncompliance promptly to the Head of Places.

Compliance

  • Uphold compliance with AML AntiBribery and Data Security policies maintaining confidentiality and adherence to GDPR Legislation.
Adaptability & Proactive ProblemSolving
  • Tackle adhoc tasks and projects efficiently responding to the dynamic needs of the Places Team.


To succeed in this role youll likely have:

  • Great people skills with strong communication
  • Strong organisational skills with attention to detail
  • Computer literacy with working knowledge of Microsoft Office
  • Initiative things change fast so an attitude for learning and proactiveness is a must
  • Experience working in a customer facing/reception role would be great but if you have the the skills above wed love to hear from you

The Nitty Gritty

  • Our standard working week is a 37.5hour week and due to the nature of this role there is an expectation of 5 days in the office per week.
