Job Summary:
We are seeking a proactive and organized Personal Assistant (PA) to provide administrative support to Managing director. The ideal candidate will be responsible for managing calendars scheduling meetings coordinating travel arrangements and assisting with various administrative tasks. Strong communication skills both written and verbal are essential for this role as the PA will be required to interact with internal and external stakeholders on behalf of Managing director.
Responsibilities:
  • Manage and maintain executives schedules including scheduling meetings appointments and travel arrangements.
  • Prepare agendas and documentation for meetings take meeting minutes and follow up on action items as needed.
  • Coordinate and prioritize incoming communications including emails phone calls and inquiries and respond appropriately on behalf of Managing director.
  • Assist with the preparation of presentations reports and other documents as required.
  • Conduct research on various topics as assigned and provide summaries or recommendations as needed.
  • Handle confidential information with discretion and maintain confidentiality at all times.
  • Serve as a point of contact for internal and external stakeholders providing exceptional customer service and representing Managing director. in a professional manner.
  • Perform general administrative tasks such as filing photocopying and data entry to support Managing director. as needed.
Requirements:
  • Bachelors degree or equivalent experience in a relevant field.
  • Proven experience as a Personal Assistant or similar role preferably in a corporate environment.
  • Excellent communication skills both written and verbal with the ability to interact effectively with individuals at all levels.
  • Strong organizational and time management skills with the ability to prioritize tasks and meet deadlines.
  • Proficiency in Microsoft Office Suite (Word Excel PowerPoint Outlook) and other relevant software applications.
  • Ability to maintain confidentiality and exercise discretion when handling sensitive information.
  • Strong attention to detail and accuracy in all work tasks.
  • Ability to work independently with minimal supervision and as part of a team.
  • Flexibility and adaptability to changing priorities and responsibilities.
  • Professional demeanor and strong interpersonal skills.
