We are looking for an Office Manager for our San Francisco hub (300 California St. Suite 200)on a parttime basis. Reporting to the Operations Manager (Op) & Head of Property (HoP) you will work onsite and oversee the facility operations while coordinating multiple activities related to ensuring an effective and efficient office environment and consistency of experience.
The parttime hours for this position are Tuesdays Wednesdays and Thursdays from 8:30 am to 2 pm with some flexibility to provide additional support when events are happening in the office although events do not happen frequently.
As an Office Manager at Next 15 you will:
Ensure the office is maintained orderly continuously working with janitorial staff. With contract information provided by the landlord confirm janitorial work is done properly and consistently within scope. Communicate quality control concerns to the landlord.
Monitor annual budgets working with brands in each respective hub for all officerelated purchases and capital expenditure plans related to office furniture and equipment.
Ensure the kitchens cafs common spaces and meeting rooms are clean appropriately used and scheduled appropriately.
Oversee vendor contracts and work with building management for any facility renovation projects including HVAC electrical systems and floor arrangements.
Manage all regular purchases of capital expenditures and various other purchases directly related to the office.
Work with other Next 15 offices to ensure consistency in office management approach and an efficient and effective office environment.
Liaise with building management representatives to ensure the proper functioning of building systems including mechanical electrical fire/life safety janitorial and others.
Manage security systems for the office. Actively monitor the offices for security threats and work with authorities building management security and security vendors where necessary.
Coordinate with brand (internal businesses) and Next 15 IT departments to provide effective and efficient video and teleconferencing services as well as display and presentation capabilities for shared conference rooms.
Perform various special projects as they arise from time to time that relate to the office infrastructure and environment.
Coordinate with the Green 15 team to collect ongoing data pertaining to energy and waste usage ethical procurement practices supplier compliance and environmental quality measurements.
Run regular office space usage reports advising OP & HoP and brands on ultilziaiton of allocated space to maintain and monitor proper space usage.
Monitor employee morale and satisfaction with the work environment providing support and activities when needed and within budget.
Sort and distribute mail and packages according to the Next15 system. May involve transporting mail and/or packages to a nearby post office or UPS location.This job description may change from time to time as necessary.
At least 3 years of experience in overseeing office facilities including maintenance and operations.
Experience in monitoring and managing annual budgets for office operating expenses.
Experience liaising with vendors building management and staff to maintain office standards.
Experience procuring services and materials ensuring cost efficiency.
Great compensation package with an hourly rate ranging from $30 $40
20 vacation days for the first year and 25 days annually thereafterpro rata
