Today Vital Voices has a staff of nearly 80 headquartered in Washington DC. Weve recently been working to dramatically scale our impact in accordance with our bold vision. In early 2022 we opened the first ever Global Headquarters for Womens Leadership a 30000 sq. ft. historic building just blocks from the White House on 16th Street. It is a hub of activity events and collaborations — bringing together women leaders and their allies to tackle the worlds greatest challenges.

Summary

The Operations Coordinator will work directly under the supervision and guidance of the Director of Operations. This position will be responsible for running the daytoday management of the office at Vital Voices Headquarters in Washington DC. This position is based in Washington DC with the option of a hybrid work schedule. We are not accepting remote candidates at this time.

Additional responsibilities include:

• Vital Voices Headquarters (VVHQ) Facility Management: Support the daytoday management of the office and events spaces.
  • Manage all building operations requests and concerns and address them in a timely manner
  • Manage all maintenance requests ensuring issues are addressed with our building engineer janitorial vendor or other vendors as needed
  • Oversee the supply budget and ensure sufficient inventory by ordering supplies as needed
  • Coordinate building access including vendor relationship distributing keys and adjusting lock times to adapt to event needs
  • Oversee our room reservation system and support events team with event management
  • Monitor all regular required equipment testing throughout the facility by working closely with facility vendors

• Events: Work closely with our Events team to prepare the building and facilities for internal and external events

• Contract and Procurement Management: Manage the incoming contract and procurement requests for the organization. Ensure documentation is complete and review contracts for completion.
• Financial Operations: Manage and process invoices and support Operations team members with credit card reconciliations
• Technology Systems & Equipment: Monitor and troubleshoot building technology working with the Tech and Data Department as necessary
• Travel Safety and Security: Review incoming international staff travel requests ensure documentation is complete review risk assessments and process insurance requests as needed.
• DE&I Commitment: Embrace and model the Vital Voices guiding principles values investment and leadership models with the goal of supporting Vital Voices organization culture and success;
• Other duties as assigned.

Qualifications

• Bachelors degree in business administration international relations or a related field plus 24 years of relevant work experience required OR 5 years of relevant work experience
• Strong computer and technical aptitude including MS Office Applications database software project management software and hardware
• Excellent oral and written communications skills in English;
• Ability to prioritize tasks swiftly shift priorities and work in a dynamic environment with tight deadlines
• Ability to work independently and as part of a dynamic team;
• Ability to frequently move equipment and supplies weighing between 2550 pounds or what is considered a medium work expectation;
• Experience working crossfunctionally to support key objectives and to help team members

This position is a fulltime exempt hybrid position based in Washington DC with two days of required in person attendance at the Vital Voices Headquarters. If and when it is safe to travel domestic and international travel up to 5% may be required for the position.

The starting salary range for this position is $59635 $72888 based on experience and ability to have broad impact early.
