Job Description

The Operations Specialist assists the Legal Operations Manager in providing support to the FDC Legal Team: General Counsel Tax Litigation and Corporate Governance leads.

DUTIES AND RESPONSIBILITIES:

General

  • Administer and maintain the legal management system to ensure smooth and efficient operation of our legal department.
  • Collaborate with the legal team to identify system requirements and implement necessary updates or modifications to meet evolving needs.
  • Develop and maintain the systems organizational structure user roles permissions and access controls ensuring compliance with relevant regulations and best practices.
  • Train legal department staff on system functionalities and ensure proper utilization of the legal management system.
  • Troubleshoot and resolve any technical issues related to the legal management system escalating issues as necessary to the appropriate technical support teams.
  • Collaborate with IT and/or external vendors for system upgrades new implementations and integrations with other systems ensuring seamless connectivity and data transfers.
  • Regularly review system performance and usage analytics generating reports and identifying areas for improvement or optimization.
  • Stay up to date with the latest technology trends and emerging legal management system solutions to propose enhancements or updates to the existing system.
  • Lead change management and adoption efforts for system updates or new implementations working closely with key stakeholders to ensure successful implementation and user acceptance.

Documents and Records management

  • Files documents and records according to defined document filing and classification;
  • Organize the filing and classification of documents and records according to the defined standards;
  • Guards the retention period and safe disposal of documents and records; and
  • Maintain active inventory of records and documents.

Administrative Tasks

  • Support the legal operations as to billing;
  • Performs other duties and responsibilities that may be assigned by the General Counsel Tax Litigation Corporate Governance leads and the Legal Operations Manager.

TECHNICAL COMPETENCIES AND SKILLS:

  • Strong technical skills and ability to navigate and efficiently utilize legal management systems and related applications.
  • Excellent knowledge of legal department operations and processes as well as legal technology trends and advancements.
  • Proven track record of successfully implementing and managing legal management systems including integration with other systems.
  • Strong project management and organizational skills with the ability to prioritize tasks and handle multiple projects simultaneously.
  • Excellent communication and collaboration skills with the ability to work effectively with legal professionals and technical support teams.
  • Attention to detail and problem solving abilities to troubleshoot technical issues and identify solutions.

QUALIFICATIONS:

  • Bachelors degree in business management of information systems or a closely related field.
  • Has an IT background tech savvy and proficient on data analytics.
  • Has interest in the field of legal and compliance systems.
  • At least two to three years of experience in business operations and process flows.
  • Willing to do onsite work setup in Mandaluyong City (MondayFriday).
