Overview:

The Front Office Executive plays a crucial role in the organization as they are the first point of contact for clients and visitors. They are responsible for providing exceptional customer service creating a positive first impression and ensuring the smooth operation of the front office.

Key Responsibilities:

  • Greet and welcome clients and visitors in a professional manner
  • Handle incoming calls and direct them to the appropriate person or department
  • Manage the reception area including keeping it tidy and presentable
  • Respond to inquiries and provide accurate information
  • Coordinate and schedule appointments and meetings
  • Assist in office administrative tasks such as filing photocopying and data entry
  • Handle and resolve customer complaints or issues
  • Monitor and maintain office equipment and supplies
  • Process and manage incoming and outgoing mail
  • Assist in coordinating travel arrangements for staff
  • Ensure security and confidentiality of the front office area
  • Collaborate with other departments to ensure overall customer satisfaction
  • Prepare reports and documents as needed
  • Handle any adhoc administrative or clerical tasks
  • Contribute to a positive and professional work environment

Required Qualifications:

  • High school diploma or equivalent
  • Proven experience in a similar role or customer service position
  • Proficient in Microsoft Office applications
  • Excellent communication and interpersonal skills
  • Strong organizational and multitasking abilities
  • Customerfocused with a serviceoriented attitude
  • Ability to handle stressful situations in a calm and professional manner
  • Attention to detail and accuracy
  • Knowledge of office management procedures
  • Ability to prioritize and manage time effectively
  • Familiarity with basic office equipment and procedures
  • Problemsolving skills and resourcefulness
  • Professional and presentable appearance
  • Ability to work independently as well as part of a team
