Responsibilities:
(d) Participation in monthly site-specific Facilities meetings
(e) Ensure that local contracts with suppliers are in place, update and follow the supplier's contract variation process when required to ensure that all service costs and quality are met
(f) Act on behalf of Company in dealing with its direct suppliers in accordance with the company's requirements and related documentation management
(g) Preparation of conference rooms including room setup, furniture and amenities as required. This may require opening and closing of mobile walls, position and re-position furniture several times a day.
(h) Keeping all conference rooms clean and tidy and stocked with consumables/equipment according to local requirements
(i) Keeping all post/copy points equipped, clean and tidy and stocked with stationery and copy paper.
(j) Keeping all tea points clean and tidy and stocked with consumables according to local requirements, checking and preparing all kitchen appliances: coffee machines, milk from the maker, dishwashers, electric kettles, fridges, microwaves daily
(k) On demand - support with large deliveries and distributing them to the respective recipients and/or transferring them to designated storage area. Provision and management of porterage services
(l) Management of all office materials and consumables, such as stationary, business cards, name badges, packing and dispatching presents I vouchers etc. - includes regular check of stock, ordering of material regularly and/or on demand
(m) Management of printer/copy machines consumption, toner distribution and toner waste
(n) Preparing workstations for new employees, or internal moves, tidying up workstations when employees move or leave the business
(o) Support internal moves of employees or contractors and support the move and installation of furniture if required with other relevant departments
(p) Switching off all electrical equipment including audio visual equipment in meeting rooms after usage I at the end of the day. If applicable switch off all kitchen equipment at the end of the day. If air conditional is not centralized, also switch off at the end of the working day.
(q) Receiving and directing calls following the providers operational procedure and Company communication requirements
(r) Operation of all required systems (switchboard, access control, reception log, room booking etc.) in accordance with all applicable company guidelines and requirements
(s) Assistance in the booking and utilization of meeting room facilities as appropriate
