The job is a permanent Facilities Coordinator position located in Cape Town Western Cape South Africa under the Risk business area. The role involves efficiently processing and maintaining the administration of the Facilities Department for effective record control and smooth departmental operations.
Parking Key Responsibilities:
Monthly invoicing of all parkers for rental fees
Invoice parkers for lost cards deposits and vehicle clamping
Ensure the timely receipt of payments
Send letters of demand to tenants for late payments
Reconcile payments with bank statements
Process debit orders
Monthly statement provision for rentals
Create credit memos for canceled accounts
Process refunds
Allocate parking bays when required
Draw up lease agreements
Maintain an updated agreement database
Ensure bays are marked appropriately
Provide access cards as necessary
Open accounts on the system for tenants
Processing Invoices:
Ensure timely receipt of invoices from suppliers
Process invoices before monthend
Issue purchase orders as required
Maintain a record of supplier spend per supplier
Agreements & Supplier Forms:
Issue supplier forms upon request
Ensure the timely receipt of the correct documentation from suppliers
Check the accuracy of the pack and forward it to the Finance Department
Coordinate with the Legal Department for all NonDisclosure and Service Level Agreements requiring signing
Building Committee:
Draft the quarterly agenda record accurate minutes and distribute them to committee members on time
Qualifications and Experience:
Matric qualification at a minimum
Proven intermediatelevel Excel skills
Strong numerical abilities and financial orientation
Good communication skills
