Executive Assistant to the Managing Partners

  • We re looking for an amazing, full-time Executive Assistant to join our team and support our Managing Partners.

POSITION OVERVIEW
This is a full-time role, reporting to our Managing Partners. Typical hours for this role are 9am-5pm, Monday-Friday Eastern Standard Time; on occasion there is a need to work additional hours on evenings and weekends for key projects throughout the year.
MISSION The mission of the Executive Assistant is to stay five steps ahead of their leaders, tracking all the administrative details and clearing the path for them to make their greatest contribution to our business.
The Executive Assistant will be a key asset to the Managing Partners by anticipating needs at an exceptionally high level, allowing them to execute the vision and strategy to reach our revenue and profitability goals. While repetitive tasks are certainly part of this position, the tasks assigned can vary from week to week.
On a weekly basis, our company focus is to achieve our First Time Interview (FTI) goal which is the key metric that drives our financial performance. to week based on the CFO s needs and the needs of business. The most important responsibility of the Executive Assistant is to ensure that administrative tasks and projects are completed with a high level of efficiency, confidentiality, accuracy, flexibility, and positivity in order to support the initiatives of the CFO.
RESPONSIBILITIES
  • Communicating on the Managing Partners behalf both internally and externally
  • Email management on behalf of the Managing Partners in both their Outlook and Linkedin accounts.
  • Scheduling Interviews, sending confirmations and setting up interview prep and debriefs with candidates.
  • Write Job Postings and manage the applicant process on both Indeed and Linkedin
  • Project Management of key projects designed to automate workflows and increase both candidate and client engagement and ultimately First Time Interviews (FTIs). Light AP and AR duties.
  • Administer Most Placeable Candidate (MPC) Campaigns according to our monthly schedule.
  • Create client agreements from templates, format resumes, ensure candidate scheduled on Managing Partners calendars have files set up in out Applicant Tracking System
  • Complex calendar management and scheduling (both personally and professionally) on behalf of the Managing Partners.
  • Varying personal and professional administrative tasks including, but not limited to, booking appointments, research projects, coordinating travel, and ordering gifts/flowers, etc. PROFICIENCIES Organization and Project Management Skills: The Managing Partners EA will have a high attention to detail and accuracy, using their existing administrative experience and increasing knowledge of the recruitment industry to suggest efficient workflows and provide informed administrative support.
  • Quality Communication: The EA must be an excellent communicator, in both written and oral form. This includes proficiency in spelling, grammar, and punctuation. This also includes being able to take a large amount of information and summarize it quickly both in writing and orally on a regular basis. You must also be able to track communication (and be very responsive) across multiple channels without losing any details. Those channels could include in-person meetings, virtual video calls, Teams messages, text messages and/or emails.
  • High Level of Discretion: Since our EA will regularly work with confidential information, discretion and sensitivity regarding financial information is a must.
  • Team Player: Besides working directly with the Managing Partners, the EA will also work with recruiters and researchers. They ll need to be able to collaborate and communicate well with these team members, maintaining a can-do spirit and not complaining, making excuses, or gossiping. We focus on "data not drama "and identify gains from each experience while identifying improvement opportunities.
  • Anticipating Needs: As a part of our commitment to enabling our Managing Partners to serve our company and customers at the top of their game, our EA will strive to anticipate needs and eliminate friction at work and home whenever possible. This means you know how to stay five steps ahead of your leaders, clearing the path for them to make their greatest contribution.
  • Affinity for Technology: Our executive assistant will be a technologically savvy computer user and will not be intimidated by learning new technology. Proficiency in the following tech platforms is ideal: Zoom, Google Suite, Microsoft Office Suite. Willingness to learn and evaluate new recruiting tech applications and project manage their incorporation into our workflows. The goal is to replace repetitive tasks with automated solutions. This goal frees the EA to focus on more impactful and rewarding projects that elevate company performance and provide career growth for the EA.



Requirements

  • Education: Bachelor s degree, preferred.
  • Experience: 3+ years in an administrative support for executives, in roles that require good judgment and decision making.
