JOB DESCRIPTION
Designation: Executive Assistant to all HOD s
Location: Mumbai
Purpose of the role: To Assist all HOD S in day to day activities.
Duties & Responsibilities
Essential Functions include but not limited to the following:
  • Preparing the daily/weekly/monthly calendar for the meeting schedules and other various activities.
  • Screening enquiries requests complaints and handling them when appropriate. Taking regular follow up from engaged stakeholders as assigned by the respective HOD.
  • Preparation of documents (Drafting Letters / Emails) briefing papers reports and presentations.
  • Coordinating with other departments in the organization for relevant information and to consolidate the same.
  • Attending the meetings to record the MOM and circulate the same as per instructions.
  • Taking care of the HOD s & Team travelling lodging & other arrangements as and when required.
  • To coordinate with all the stakeholders within and outside the company to expedite implementation.
  • Coordinate with HODs on business requirement/ MIS
  • Coordinate International visits
  • Responsible to block the board room and other meeting rooms Processing VISA & travel mgmt.
  • Director Calendar Management.
  • Taking dictation drafting letters/ mails
  • Schedule meetings prepare MOM & follow up for further actions
  • Ability to manage on behalf of the respective HOD s
  • Maintaining calendar in respect of meetings phone calls appointments
  • Arranging Air travel hotel bookings Visa Foreign Exchange etc.(for Domestic & International travel)
  • Liasioning with various departments and Functional Heads for communicating messages collecting information and resolving various issues queries in order to execute company objectives.
  • Liasioning with the Consultants/ Vendors/suppliers etc.
  • Giving presentations to clients and investors and developing Business.
  • To handle phone calls in their absence and take necessary decisions.
  • Compiling Minutes of Meetings
  • Compiling MIS Reports/WAP Reports/Memos/Notes/Analysis
  • Managing Public Relation Activities and conferences
  • Lead in organizing company events (Internal & External)
  • Handling Petty Cash Vouchers
  • Track utility Bill payments
  • Developing systems and process for smooth functioning

Skills Required
  • Good Knowledge of MS Excel PowerPoint FrontPage Outlook power user.
  • Excellent communication skills verbal written
  • Good grasping and implementing capacity.
  • Ability to demonstrate exceptionally strong analytical and practical problem solving skills.
  • Mature individual with good diplomatic and business partnering skills.
  • Professionalism and understanding of maintaining highly confidential information.
  • Excellent managerial skills interpersonal & problem solving skills
  • Ability to multitask and prioritize work
  • Punctuality Dedication SelfMotivation
  • Quick adaptability towards work environment Perseverance Extensive research on internet.
  • Ability to follow instructions well and make decisions with no supervision.
  • Excellent Experience as a Secretary to MD COO or Deputy CEO
  • Fascinated towards work
  • Knowledge in different fields & about learning skills

Educational Qualification: Any Graduate
