Job Summary:

We are looking for a proactive and selfmotivated team member with a strong cando attitude to join the company. To succeed in the role the candidate must be organized detailed possess excellent communication skills can multitask and have prior experience supporting owners and senior executives. The person in this role will be an integral part of the CEO s life in and out of the office.


Responsibilities:

  • Provide daytoday administrative support to the CEO office (CEO and another ownership executive)
  • Be available for urgent requests
  • Be the primary liaison between the CEO office and employees investors vendors etc.
  • Heavy calendaring: Manage executive calendar by scheduling meetings and coordinating all travel arrangements including family travel and personal events.
  • Organizing and providing business and family expenses information to Family Office and Corporate Accounting to record the expenses
  • Coordinate interdepartmental meetings and communication.
  • Be responsive to emails and phone calls with occasional contact outside normal business hours
  • Conduct research as needed for various projects via local resources social media sites and search engines.
  • Record virtual meetings seminars or conferences at request.
  • Be highly professional in dealing with clients and thirdparty vendors.
  • Represent the company and its owners in a positive light through great followthrough skills and sound judgment.
  • Assist with company events planning and tracking charitable contributions.
  • Manage various memberships for the CEO.
  • Conserve the CEO s time by researching collecting and analyzing information as needed.
  • Ad hoc projects as assigned including but not limited to taking charge of CEO s personal and family photo library auto insurance/registration coordination etc




Requirements

  • 5 years experience working as an Executive Assistant
  • Bachelor s Degree preferred
  • Outstanding organization and time management skills
  • Excellent verbal and written communication skills
  • Experience working in a fastgrowing environment
  • Ability to multitask and prioritize daily workload and other demands
  • High level of proficiency in Microsoft Office (Word Excel PowerPoint Outlook)
  • Ability to work independently applying solid judgment and problemsolving skills
  • Highly selfmotivated and dependable
  • Excellent interpersonal skills to interact with internal and external clients at all levels
  • Outstanding professionalism maintaining the appropriate levels of confidentiality discretion and maturity even in highpressure situations
  • Resourceful and proactive
  • Work well under pressure
  • Team player who collaborates well with others
  • Systemssavvy creative and innovative is a plus
  • Be flexible on work hours at request.
  • Must have Fiber Optic internet with at least 25 Mbps bandwidth
  • Must have a backup desktop or laptop with the latest OS
  • Must be able to work on a shifting schedule
