Calendar Management:
Ensure my schedule is organized, set appointments with clients, and manage important dates and deadlines for fundraising campaigns and events.
Invoicing:
Handle the invoicing process, ensuring timely and accurate billing to clients and tracking payments.
Document Organization:
Maintain a well-organized filing system for important documents related to campaigns, clients, and events.
Client Outreach:
Reach out to clients and potential donors/sponsors to send campaign materials, such as packets and letters, and keep track of responses (yes, no, maybe).
Campaign Tracking:
Monitor and update the progress of fundraising campaigns, keeping records of donor/sponsor commitments and any follow-up needed.
Lead Management:
Quarterly review and update of leads, ensuring that potential opportunities for appointment setting are not missed.
Appointment Setting:
Assist in scheduling appointments with leads and clients, ensuring effective communication and coordination.
Fundraising Campaign Support:
Collaborate with the team to help design and execute fundraising campaigns, including strategy development, target audience selection, and follow-up activities.
Client Support:
Provide support to clients as needed, addressing their inquiries and ensuring their needs are met.
Minimum of 2 years of experience as an executive assistant. Proficiency in Google Suite, Slack, HubSpot, ClickUp, and Beautiful AI. Strong skills in calendar management, client communication, attention to detail, and time management. Adaptability and willingness to learn new tools and processes. Commitment to ethical conduct in client interactions. Preferred experience in fundraising or related fields. Proven ability to work collaboratively in a team and solve problems effectively.
