Job Title: Executive Assistant

Reports to: President and Chief Executive Officer

Overview:

The AfricanAmerican Chamber of Commerce of PA NJ and DE (AACC) is the leading advocate for minorityowned business in the Delaware Valley and Southeastern Pennsylvania. The AACC enhances the growth and effectiveness of AfricanAmericanowned businesses by working within the community to improve economic conditions; furthering businesses interests by serving as convener and influencer in government; and providing programming and facilitating partnerships that help members access needed resources.

The Executive Assistant reports directly to and works closely with the CEO. The Executive Assistant is responsible for supporting the CEO through a combination of project management writing and editing research and communications. The role will work handandhand with the CEO to ensure strategic and operational success.

Physical Demands

Must be able to remain in a stationary position for extended periods of time operating a computer and other office productivity devices such as a calculator telephone and copy machine. Must be able to adapt to high pace environments occasionally moving/lifting lightweight equipment and other work related objects up to 25lbs. May have to work late nights weekends and in outdoor weather.

Environmental Elements

Employees work in an office environment with moderate noise levels controlled temperature conditions and no direct exposure to hazardous physical substances.

Requirements

Responsibilities of this role contribute to the capacity and preparedness of the President/ CEO and is vital to the success of the organization.

Strategic Support:

  • Manage special projects for the President/CEO
  • Liaise between the Board of Directors Board Committees and President/CEO
  • Design and deliver pre and post meeting/event briefings and follow up in support of President/CEO external interactions
  • Prepare President/CEO for all meetings and presentations through managing meeting preparation drafting minutes and spearheading follow up with stakeholders
  • Design slides conduct research draft content manage logistics and analyze feedback for all AACC presentations
  • Prepare President/CEO for speaking engagements including dayof logistics draft of talking points research based Q & A responses and support for social media
  • Participate in meetings task forces and working groups both internally and externally
  • Conduct and assemble research assist with program development and monitoring and generate ideas on a variety of topics including policy issues and business trends
  • Draft and edit various documents including internal/external correspondence
  • Manage the President/CEO s schedule to ensure proper preparation and prioritization

Administrative Management:

  • Facilitate the flow of emails and telephone communications
  • Log file and communicate updates to Accounts Receivables and Account Payables
  • Manage data entry and data maintenance needs of AACC customer relationship management tool
  • Communicate membership status to new members entering renewal phase
  • Serve as facilitator of cohesive communications between AACC staff and consultants

  • Easily learns project management and operational systems
  • Teamoriented and flexible
  • Proficient in Microsoft Office and Gsuite applications equivalent to Word Excel PowerPoint Forms Drive Calendar etc
  • CRM experience preferred
  • General Bookkeeping
  • Support the mission vision and values of the AACC
