Job Description

Job Summary:

Under limited supervision, provides administrative and event support that requires no instructions on routine work, and general instructions on new assignments. Resolves routine complex inquiries utilizing knowledge of policies and procedures and exercises frequent independent judgment within the assigned areas of responsibility. Support team members and establish a high level of quality, accuracy and compliance to departmental and industry standards. Expected to have consistent communication with team members on developments, problems, and status of projects. Routine work may be scanned by others upon completion. Prioritizes projects for completion with only limited supervision and must maintain workload balance. Relies on experience and judgment with little to no supervision.

Essential Functions:

Receives, screens and triages communications in an appropriate and timely fashion

Process business related expenses including vendor payments, facility repairs and supply requests

Compiles and tracks assets needed for events

Compiles information and prepares routine, confidential and special reports

Maintains accurate reports, inventories, and databases

Arranges appointments and meetings using calendaring software; coordinates meeting agenda and materials, may take and prepare minutes for meetings as needed

Assists with onsite support for venue management and events

Assists in composing general business correspondence and slide presentations

Assists in research of event venues and vendors

Other duties as assigned

Required Education & Experience:

Bachelor's degree

5+ years responsible secretarial or clerical experience in a professional environment with event experience preferred

Proficient with Microsoft Office Suite, Zoom and other virtual platforms

Must have high level of professionalism

Excellent project and time management skills with the ability to prioritize and oversee multiple tasks concurrently

Excellent communication skills both written and oral

Positive attitude and able to work in a fast-paced environment

Committed to working both independently and as a team player
