Were seeking an experienced Director of OnSite Event Ops to spearhead our onsite event management and client relations. The successful candidate will play a key role in on site operations strategy development crossfunctional team leadership and highlevel client interactions.
Strategic Event Management and Leadership
Oversee all aspects of onsite event planning operations and logistics.
Manage and operate midrange to largescale hospitality programs and special events including activities transportation overseeing staff and working with subcontractors and vendors
Coordinating with venue staff to ensure that the event runs smoothly and that any technical difficulties are addressed promptly
Effectively communicate to our communication team detailed customer communication regarding each event to be sent to customers: weekend and event itinerary redemption of package inclusions shuttle services customer support timing and HQ locations and any security procedures
Acknowledge empathize and resolve customer inquiries and maintain professional relationships at all times for internal and external customers
Event Staffing
Recruiting and managing event staff including but not limited to event coordinators event production companies catering decor hotels etc
Lead and train team of parttime staff dedicated to onsite success
Conduct planning staff and operational meetings as required ensuring smooth coordination of activities throughout the venues
Client Relationship and Success
Build and maintain strong relationships with highprofile clients ensuring their needs are met and exceeded.
Meet with clients virtually and onsite to meet their needs and work together to fulfill client owner package inclusions and/or addon experiences
Lead interdepartmental coordination to align event scheduling execution and client expectations.
Operational Excellence and Process Improvement
Build processes and reporting to ensure resolution of each inquiry is done in a timely manner
Develop daytoday operational policies and procedures for the department to be shared with all teams: package inclusions: ordering fulfillment tracking and shipping and receiving/inventory
Financial Budget Management
Managing budgets and finances to ensure that money is not wasted or mismanaged
Willing to travel for onsite event management
5 years of professional experience in event operations hospitality or a related field.
Proven leadership in a management role preferably within a fastpaced eventdriven environment.
Strong business acumen with experience across the entertainment live events and hospitality industries.
Exceptional client service skills and a collaborative mindset.
Expertise in process development project management and team leadership.
Proficiency in Excel or Google Sheets and excellent organizational skills.
Proactive problemsolving abilities and a resultsdriven approach.
