Objective: The Commercial Sales Administrator is tasked with supporting the sales team by managing administrative duties. This includes handling customer inquiries preparing cost calculations generating quotes processing orders and managing customer accounts. The role involves providing data and reports acting as an extension of the sales team during their absence and being the primary contact for customer queries about orders or deliveries. The objective is to ensure highquality customer service and help the sales team achieve targets. This position reports to the Sales Manager in South Africa.

Key Responsibilities:

Administrative and Sales Support:
  • Efficiently process customer inquiries and orders.
  • Generate cost calculations and quotes tracking them accordingly.
  • Prepare and deliver timely reports to senior management monthly.
  • Maintain accurate data in orders and invoices.
  • Collaborate effectively with clients and other departments.
  • Develop costeffective solutions for clients.
Performance Metrics:
  • Timely processing of enquiries and orders.
  • Monthly reporting on sales and marketing activities.
  • Achieve a 98% success rate in order processing.
Customer Account Monitoring:
  • Issue monthly statements and invoices to clients.
  • Liaise with clients to ensure prompt payment.
  • Resolve account queries in coordination with sales representatives.
  • Provide accurate feedback to the finance department.
Performance Metrics:
  • Timely distribution of statements post monthend.
  • Efficient handling of client queries for prompt payments.
  • Regular reconciliation of statements.
Customer Liaison:
  • Serve as the main point of contact for customers in the absence of sales representatives.
  • Handle phone calls and emails ensuring prompt followup on queries quotes and orders.
  • Maintain ongoing quality customer service in coordination with the sales team.
Performance Metrics:
  • Efficient handling of customer enquiries.
  • Clear and prompt communication with clients and sales representatives.
  • Monthly reporting on customer interactions and resolutions.
Professional Development:
  • Participate in training sessions as directed by management.
Performance Metrics:
  • Biannual reports on training and personal development.

Method of Performance Evaluation:

  • Performance will be assessed biannually during annual performance appraisals with a focus on meeting the above standards and metrics.


Requirements

  • At least 3 years of professional experience in a comparable position.
  • Comprehensive grasp of sales methodologies and supply chain operations.
  • Familiarity with reagents and chemicals used in the mining sector.
  • Strong analytical skills and proficiency in solving complex problems.
  • Exceptional negotiation capabilities and adeptness in building professional networks.
  • Proficient in both oral and written communication.
  • Demonstrated ability to make informed decisions and comfortable handling numerical data.
  • Capability to deliver precise work under tight deadlines.
  • Profound experience with Microsoft Excel.
  • Prior experience in performing cost calculations using Excel.
