Job Title: Children s Centre Administrator (SO1)
Contract type: Temporary 4months / Ongoing (though opening assignments are often extended by clients on a longerterm basis).

Hours Per Week: Fulltime position 35
Start Time: 10:00 AM End Time: 18:00 PM
PAYE Rate : 21.63 ( incl 12.07% holiday pay)




Job Description

The purpose of this job is to provide confidential administrative and financial support to the Head of Nursery and Executive Head ensuring the smooth operation of the Childrens Centre service. This includes monitoring the financial activities of the centre reporting on a monthly basis as required to the centre management central finance team and funder terms and conditions. The individual will maintain electronic and manual systems for all commitments and expenditures as advised by Early Years Finance and use computer packages to input data extract information and prepare regular reports as required by centre management and EYSMT. In addition the employee will be responsible for maintaining confidential records of children and families in both electronic and paper files including admissions and charging.

Experience
  • Administrative experience spanning three years with minimal supervision
  • Experience in providing administrative support to a team of managers/staff
  • Two years of proficiency in using Windowsbased IT systems and bespoke databases

Skills
  • Proficiency in the use of ICT including in work processing databases and spreadsheet programs is essential.
  • The ability to work independently and manage workloads without supervision is also important.
  • A typing speed of at least 40 words per minute is required and a typing test will be administered.
  • Minutetaking and administrative support during meetings are part of the job.
  • Familiarity with an organisation s accounting procedures is necessary.
  • Effective written verbal and facetoface communication skills are crucial.
  • Building and maintaining positive working relationships with diverse individuals are essential.
  • Budget monitoring and expenditure tracking are responsibilities of the role.
  • The ability to prioritise tasks and meet deadlines under pressure is necessary.
  • Confidentiality in all matters is essential to all matters.
  • The completion of statistical returns is a requirement.
  • Adherence to the councils high customer care standards is expected.
  • A literacy test covering spelling and grammar is mandatory.
  • The ability to supervise and train staff while adhering to a councils equal opportunity policy is necessary.
  • Demonstrating awareness understanding and commitment to protecting and safeguarding children and young people is crucial.
  • Adherence to the councils Dignity for All policy is a requirement.


Knowledge & Skills Requirements Possess a BTEC or equivalent qualification in a Business, Computing, or Administrative field. Demonstrate strong proficiency in utilising IT and Management Information Systems (MIS) solutions, specifically Microsoft Office software. Possess prior MIS, Business, or Administrative experience. Possess experience or the necessary skills to supervise staff in the short term effectively. Possess experience with ONE and/or SIMS. Possess strong written communication skills and experience in disseminating information to relevant parties. Possess experience or the necessary skills to take minutes when required accurately. Possess excellent communication skills. Possess experience in working under pressure to meet tight deadlines. Fluency in English and Welsh is essential.
