Who are we looking for

We are seeking a proactive teamplayer prepared to assume the pivotal role of Business Support Specialist in our office in Hoofddorp. This multifaceted position requires high proficiency in administrative tasks finesse in event coordination and active participation in exciting projects within quality and regulatory affairs. As a key member of our Olympus EMEA team operating in the North region (encompassing the Netherlands Nordics and Baltics) you will play a critical role in fostering operational excellence within our organization. Meet the team

In your role youll focus on the Dutch organization while being part of an international team covering Olympus North region (Netherlands Nordics Baltics). As a member of the Business Support Team youll collaborate with colleagues from Northern Europe discussing challenges priorities or just having virtual coffee chats. Locally youll team up with another Business Support Specialist working closely on significant projects. Given the broad scope of your tasks across all functions in our Dutch subsidiary youll interact with various teams building a network of local colleagues. This offers opportunities to meet during product information sessions or inspiration days

Tasks

  • HCP/O event support for commercial business. Medical Affair Portal (MAP) key user and coordinator. Handle contract workflow and government HCP/Ointeraction reporting requirements
  • Support in organizing local meetings trainings events audits etc. incl support with booking event venues travel arrangements booking of hotel rooms and flights for customers and external guests
  • Local quality & regulatory assistance: Coordinate Field Safety Corrective Actions arrange for QM/RArelated trainings Maintain QM/RA related documents support in organizing local audits etc.
  • Local central point of contact for archiving nonsales contract in Contract Management (OBSE). Assist in endtoend handling of contract flow
  • Facility management & local administration: Receive and distribute emails taking care of office facilities office supplies and materials
  • Responsible for anniversary and recognition arrangements
  • Ad hoc secretary functions for local management
  • Additional potential tasks assigned by management or MarCom

Requirements

  • 2 years of experience in administrative or support roles with a preference of a customerfacing background
  • Demonstrates strong verbal and written communication skills in Dutch and English
  • Experienced in effectively navigating and utilizing the Microsoft Office Package
  • Proficient in utilizing technology with a strong grasp of various software tools and applications.
  • Exceptional interpersonal skills proficient in cultivating and sustaining productive relationships within customer and team environments
  • Takes initiative and anticipates needs contributing to a proactive and dynamic work environment
