Exempt | Full-Time | Monday-Friday | 8AM to 4PM OR 9AM to 5PM

GENERAL POSITION SUMMARY

This position is responsible for performing a range of business and administrative functions mentioned below and for offering various bi-lingual support to Management and Japanese visitors.

ESSENTIAL JOB FUNCTIONS

1. Preconstruction Services

  • Participates in preconstruction planning, when possible, regarding the project schedule and budget.

2. Project Administration, Operations, and Close-Out

  • Assists Project Manager in communicating with subcontractors and employees a consistent level of expectations and direction regarding schedules, construction methods, company policies and procedures, permits, safety, quality control and other performance standards.

  • Attends weekly project progress meetings with all subcontractor representatives and understands the upcoming week's work to be accomplished.

  • Assists Project Manager in ensuring the project closeout process is finalized to settle all financial obligations, demobilize all resources, and transit the project to the customer.

3. Promote Customer Relations

  • Builds effective relationships with customers, engineers, subcontractors, suppliers, and user groups that reflect and support company core values and meet or exceed the customer's expectations.

  1. Primary Job Functions

  1. Provides General Administrative Support including General Sales and Accounting Support by; writing and distributing documents and other correspondence (to contractors, vendors, internally, etc.); distributing mail and faxes when necessary; accurately filing and maintaining documents; maintaining and modifying data; making copies; ordering and maintaining office supplies and equipment; researching, communicating, and negotiating with vendors for best prices; planning office activities and events; providing administrative support to Project Managers as necessary; and assisting Management on other administrative functions as requested

  1. Supports Management and Japanese Visitors with Various Arrangements by; providing translation support; coordinating travel arrangements (hotel, rental car and flight reservations, etc.); researching and negotiating various travel related services (i.e. corporate rates for hotels, insurance for cars, etc.); arranging for apartments, car leases, etc. for longer term visitors; advising visitors on various local issues and problems; and recommending local places to visitors for business and personal needs.

  1. Manages Time and Resources; by using tools provided by the Company (phone, fax, email) in order to maximize productivity and to accomplish tasks on time.

  1. Keeps Management Informed by participating in meetings and reporting problems to Management verbally or in writing.

  1. Complies with Federal, State and Local Requirements by studying existing and new regulations, adhering to requirements; and filing reports as necessary.

  1. Maintains Professional and Technical Knowledge by; attaining job-related certification; staying current on industry trends; and applying that knowledge to the job.

  1. Contributes to the Team Effort by; being flexible in work assignments; providing backup support for other staff as needed; and accomplishing tasks when requested by Management

  1. Acts on Constructive Feedback by; being open to feedback from peers, Supervisors and customers; and using the feedback to improve performance.

  1. Improves Processes; by examining departmental work processes, research procedures, administrative procedures and by recommending changes where appropriate.

  1. Upholds Word Standards by; maintaining professional conduct and appearance; realizing one's own limitations and seeking assistance when needed; and using established communication channels.

ESSENTIAL JOB REQUIREMENTS

  1. Physical Requirements
    • This staff member must occasionally lift and/or move up to 10 pounds.
  2. Work Environment
    • The noise level in the work environment is usually moderate (i.e. working in a business office with computers, printers, and telephones).
    • The staff member may be required to travel for business and work beyond normal business hours when necessary.

EXPERIENCE/MINIMUM QUALIFICATIONS NEEDED

  1. Language Skills
    • Ability to read, analyze, and interpret general business documents, forms and instructions in English & Japanese
    • Ability to write reports, business correspondence, and procedural manuals in English & Japanese
    • Ability to effectively respond to questions from Management, Staff, clients and the general public in English & Japanese
    • Ability to communication verbally and in writing to individuals and groups in English & Japanese
  2. Mathematical Skills
    • Ability to calculate figures and amounts such as discounts, interest, commissions, proportions, percentages, area circumference, and volume.
    • Ability to apply concepts of basic algebra and geometry to draw and interpret bar graphs.
  3. Reasoning Skills
    • Ability to apply knowledge and sense of understanding to carry out detailed written or oral instructions.
    • Ability to effectively resolve problems involving several concrete variables in situations where only limited standardization exists.
    • Ability to analyze and use various documents (contracts, purchase orders, etc.).
  4. Computer Skills
    • Ability to use a computer and such applications as Microsoft Windows, Word, Excel, Outlook, Project, BOX and PowerPoint and be able to design custom reports as necessary.
  5. Other Skills
    • Must be tactful, professional, flexible and able to successfully respond to multiple work priorities and requirements.

EDUCATION

Associates degree in Business Administration, Construction Management or related field; and two to four years related experience and/or training or equivalent combination and experience
