Position Overview:

We are seeking a dynamic and organized individual to join our team as an Administrative Assistant & Receptionist. This role requires proficiency in both English and German languages as well as a valid work permit for Germany. The ideal candidate will be adept at managing administrative tasks efficiently while providing excellent customer service as the first point of contact for our office.


Location: Kaiserslautern Germany


Responsibilities:

  • Greet visitors warmly and direct them to the appropriate person or department.
  • Professionally and courteously answer incoming calls providing accurate information or transferring calls as necessary.
  • Efficiently manage incoming and outgoing mail and packages.
  • Ensure the reception area is tidy organized and creates a welcoming atmosphere.
  • Provide comprehensive administrative support to various departments as required.
  • Assist in scheduling appointments coordinating meetings and making travel arrangements.
  • Prepare edit and distribute correspondence memos and reports with precision and attention to detail.
  • Maintain both electronic and physical filing systems ensuring documents are easily accessible.
  • Handle confidential information discreetly and with utmost confidentiality.
  • Effectively communicate in both English and German both in written and verbal forms.
  • Serve as a valuable language resource for colleagues offering translation assistance as needed.
  • Monitor and replenish office supplies and equipment ensuring smooth daytoday operations.
  • Coordinate office maintenance and repair tasks promptly and efficiently.
  • Uphold office policies and procedures fostering a productive and compliant work environment.
  • Work collaboratively with team members to achieve organizational objectives.
  • Contribute actively to special projects and events as assigned demonstrating flexibility and a willingness to support the team.


Qualifications:

  • Proficiency in English and German languages both written and verbal is essential.
  • Previous experience in an administrative or receptionist role preferred.
  • Excellent communication and interpersonal skills.
  • Strong organizational skills and attention to detail.
  • Ability to prioritize tasks and manage time effectively.
  • Proficiency in MS Office applications (Word Excel Outlook).
  • Valid work permit for Germany.
