Title: Admin CoordinatorIntermediate
Description: This role will provide administrative support with the Commercial team.

The successful candidate for the Administrative Coordinator role will provide highlevel administrative support within the commercial organization interacting with all levels of management throughout the company. Duties include logistical support by maintaining extensive calendar management organizing email and hard files scheduling appointments meeting preparation coordinating domestic and international travel through the company system creating and submitting expense reports and project support including developing electronic presentations charts graphs reports spreadsheets and documents. Incumbent also will create and maintain general correspondence (i.e. letters memos etc.) maintain departmental organization charts/databases coordinate meetings and make arrangements for department members.

ESSENTIAL FUNCTIONS:
Maintain general correspondence/memos
Maintain departmental organization charts
Provide calendar support for VP
Submit IS requests (software requests upgrades etc.)
Process Procurement documents (create SOWs and POs and assist with invoice questions)
Make both global and domestic travel arrangements through the company system
Process expense reports ensuring adherence to company policies
Coordinate internal/external meetings videos and teleconference calls
Coordinate training room reservations and meeting supply needs
Develop electronic presentations
Handle confidential information and communication appropriately

MINIMUM REQUIREMENTS:
Excellent administrative and organizational skills including thorough knowledge of standard office procedures
Must demonstrate ability to prioritize and handle multiple tasks in a timely fashion with minimum supervision and efficient followup
Must be proactive efficient customerfocused and able to work under pressure with tight timelines
Must be able to exercise independent judgment and interact effectively with internal and external customers including international colleagues
Must be proficient in all administrative skills (i.e. office procedures departmental organization and reporting structures Microsoft Word Excel PowerPoint and Outlook Internet Explorer Concur Workday etc.)
Must display a teamoriented approach; excellent interpersonal and written/oral communication skills required
Strong attention to detail and quality

EDUCATION:
Associates Degree in business science or related field preferred/High School Diploma required.

EXPERIENCE:
5 years of successful administrative support experience with demonstrated ability to support a department at a Director or higher level preferred. Pharmaceutical medical or related industry experience preferred

PREFERRED SKILLS/QUALIFICATIONS:
Excellent oral and written communication skills along with the ability to listen effectively to others
Excellent interpersonal skills with ability to work in a team/matrix environment. Must be customer focused
Capability and comfort in communicating and interfacing with personnel at all levels in the organization including management and senior management.
Excellent organizational planning and problemsolving skills
Ability to focus on quality and accuracy of work product
Ability to work with minimal supervision; individual should be a selfstarter
Ability to prepare communications from draft; excellent editing and grammar skills
Ability to coordinate multiple tasks in fastpaced environment
Outstanding attention to detail
Demonstrated ability to schedule varied and complex meetings involving multiple participant calendars in Outlook
Proficient in Microsoft Office applications (Word Project Excel PowerPoint Visio Access and Adobe )

RELATIONSHIP WITH OTHERS:
This Administrative Coordinator role will report to the Vice President Commercial Effectiveness and will be based in our Bridgewater NJ office.
