ThePortage County Health & Human Servicesdepartment is currently hiring a part-timeSpecial Needs Unit Program Assistantto support the Special Needs Programs team.Please Note: This position is currently fundedfor up to 30 hours a week through the end of 2026. Effective January 1 2027 the position hours will decrease to 22 hours per week however will still be eligible for health & dental insurancevacation and sick leave accrual.

Pay ranges starts at $19.95 / hr

Summary of Position:

This position provides paperwork assistance to the Special Needs Programs Staff especially in the area of the Birth to Three Program. The position will support the entire Birth to Three Team in being able to be more efficient in their job duties by completing much of the paperwork and organizational tasks so that they are able to serve more families directly. It will also provide some paperwork and organizational support to the Childrens Long Term Support staff and Special Needs Programs Supervisor.


What are the primary job duties

Provides paperwork assistance and organizational support for the entire Birth to Three Team.

  • Filing and organizing files as requested.
  • Copying and sending documentation while being cognizant of the confidentiality and documentation requirements.
  • Preparing and organizing information for new families.
  • Assisting with making any form changes.
  • Tracking Plans of Care renewal dates and ensuring that providers have completed their updates.
  • Obtaining and documenting collateral information as requested.
  • Assist with preparing annual and exit surveys.
  • Assist with facilitating web page updates.
  • Organizing and tracking program deadlines.

Provides paperwork assistance and organizational support for the Childrens Long-Term Support (CLTS) Staff.
  • Filing and organizing files as requested.
  • Creating and sending mailings to families.
  • Complete CLTS and CCOP funding data entry weekly as needed.

What are the minimum qualifications
  • High school diploma or equivalent required.
  • One year experience of office support or data entry preferred.
  • One year experience working in the human services field preferred.
  • Experience or knowledge of Birth to Three program preferred.
  • Experience or knowledge of Childrens Long Term Support programs preferred.
