The Cape Cod Collaborative is an educational organization providing a full range of instructional and support services to the students parents and public school staff of our 20 member districts whose needs are best addressed through a multi-district effort. Our student services include: specialized education programs for low incident special needs populations; programs for the multi-handicapped; therapy and services for students requiring specialized support; and a full range of transportation services for both the special education and general education population. We coordinate collegial sharing opportunities for various professional groups conduct executive searches and offer a wide range of professional development and training opportunities for the educators and support personnel of our member districts. #WeAreOneCollaborative
Position Summary
The Administrative Assistant to the Program Director for the STAR Program provides comprehensive clerical and administrative support to ensure the efficient operation of the program and special education services. The successful candidate will demonstrate professionalism confidentiality strong communication skills and the ability to manage multiple priorities in a fast-paced educational environment.
Qualifications
- Associates degree preferred; equivalent experience considered.
- Prior administrative assistant or office management experience preferred preferably in an educational setting.
- Proficiency with Microsoft Office Suite Google Workspace and web-based data systems.
- Strong organizational interpersonal and communication skills.
- Ability to maintain confidentiality and exercise sound judgment.
- Ability to work independently with minimal supervision.
Performance Responsibilities(include but are not limited to):
- Provide clerical and administrative support to the Program Director.
- Effectively manage and coordinate simultaneous projects and successfully prioritize multiple tasks in a detail-oriented and thorough manner while working with minimal supervision.
- Communicate effectively and confidentially via phone and email.
- Perform duties in a professional courteous and accurate manner.
- Assist supervisor with organization of various events publications and projects including file sharing and presentation software.
- Maintain well-organized and accurate records and files.
- Support maintenance of student data systems and student/staff records including student information systems registration staff attendance and staff employment forms/reports.
- Schedule IEP meetings.
- Maintain confidentiality of all student and staff information.
- Manage supervisors correspondence appointments and calendar as needed.
- Greet and assist the public.
- Prepare payroll records and accounts receivable/payable as required.
- Implement school policies guidelines rules and regulations pertinent to the position as directed.
- Attend professional development activities and apply learning to practice.
- Maintain and order school supplies when necessary.
- Perform other duties as assigned by the Program Director and Special Education Director.
PHYSICAL REQUIREMENTS:
Typical office conditions: sitting bending stooping filing occasional lifting of up to 25 pounds of office supplies/files. Close vision at or correctable to normal range.
