Job Summary
Job Summary:The Administrative Assistant will be required to perform administrative and receptionist duties including coordinating/supporting daily site activities and supporting plant manager and management staff. Essential Functions of the Job: Maintain a professional image and demeanor with all employees management executives and visitorsAnswer questions about organization and provide callers with addresses directions and other informationWelcomes visitors determines nature of business and announces visitors to appropriate personnelMaintain/update daily appointments calendars and schedule conference roomsPrepare/assist with compiling reports and presentationsMaintain and monitor office supply inventory levels and place orders as requiredReview/prepare documents reports and other correspondence materials for the management teamHave an operating knowledge of computers Oracle experience a great production data in excel and review for accuracyCourteously receive and screen all in-bound calls emails and visitorsComplete and review invoices and other relevant monetary documents filing them as necessaryEnsuring that all appropriate approvals are received prior to payment of vendor invoicesMatching up invoices with receiving information into OracleFollow through on updating vendor informationReconciling vendor statementsReceives all parts and supplies into OracleCommunicate with purchasers any issues and recommends actions to resolve the accuracy of invoices including coding and approving for A/P processingCoordinate departmental office activities including career fairsPrepare travel arrangements where necessaryReview evaluate and distribute all incoming and outgoing mailProvide administrative support to all departmental membersMaintain a high level of confidentiality in all interactionsAnswer incoming calls retrieve messages from voicemail and forward them to the appropriate personnelWillingness to take on any new challenges dailyUnderstand and follow all company safety policies and procedures and all Good Manufacturing PPE (Personal Protective Equipment) when other duties as Responsibilities:NoneMinimum Qualifications:High School diploma or GED required.3 years experience as an Administrative Assistant or relevant role considered an Qualifications:Beneficial to have knowledge of Oracle & FSR (Financial Statement Reporting).To perform this job successfully an individual must be able to perform each essential duty satisfactorily.
