Job Summary

POSITION SUMMARY

The JP Program Event Coordinator provides administrative and operational support under the direction of the CFS Program Coordinator to ensure the efficient day-to-day functioning of the office and successful coordination of JP program activities and events.

This position works closely with the JP Program Coordinator to support planning and implementation of all program events including confirming dates venues travel arrangements accommodations and related logistics.

Travel is an essential component of this position. The successful candidate will be required to travel in support of JP program events and community initiatives. This may include travel to Thunder Bay Winnipeg and flights to the six remote KO First Nations communities served by the program.

Direction for event planning priorities schedules and program requirements will be provided collaboratively by the CFS Program Coordinator and the JP Program Lead.

KEY RESPONSIBILITIES

Administrative Support & Event Coordination

  • Provide daily administrative support under the direction of the CFS Program Coordinator
  • Support office operations and assist program staff as required
  • Answer and direct phone calls emails and inquiries
  • Schedule team meetings and conference calls
  • Prepare correspondence reports letters memos and forms
  • Maintain electronic and paper filing systems
  • Manage office supplies and inventory
  • Support data entry record keeping and document management
  • Take meeting minutes and distribute follow-up action items
  • Assist with invoice processing expense reconciliation and reporting
  • Maintain confidential records and sensitive information
  • Work alongside the JP Program Team Lead to coordinate all program events and activities
  • Receive direction from the JP Program Team Lead regarding event planning dates venues and travel requirements
  • Coordinate venues hotels meeting spaces and community locations
  • Arrange travel bookings flights accommodations ground transportation and itineraries for staff guests Elders and participants
  • Coordinate travel to Thunder Bay Winnipeg and remote KO First Nations communities as required
  • Liaise with airlines hotels transportation providers vendors and community partners
  • Prepare event schedules logistics plans and booking confirmations
  • Provide on-site support and attend events when required
  • Travel to support JP program events meetings workshops and community engagements

BUDGETING & COST TRACKING

  • Track all event-related expenses and program costs
  • Maintain cost tracking spreadsheets and event budgets
  • Monitor invoices receipts and reconciliations
  • Prepare budget summaries and spending reports for the CFS Program Coordinator
  • Ensure spending remains within approved program budget

QUALIFICATIONS

  • Proven experience in administrative support and office coordination
  • Experience in event planning travel coordination or program support
  • Strong budgeting and cost-tracking skills
  • Proficiency in Microsoft Office especially Excel Word and Outlook
  • Excellent communication and organizational skills
  • Ability to manage multiple deadlines and priorities
  • Education & background in Administration & event planning
  • Strong knowledge and understanding of First Nations Jordans Principle programming including supports and services related to children youth health wellness and community-based initiatives
  • Demonstrated awareness of First Nations community needs culturally appropriate service delivery and health and wellness programming
  • Ability to support program coordination in alignment with Jordans Principle funding requirements service standards and community priorities

WORKING CONDITIONS / TRAVEL REQUIREMENTS

  • Regular travel is required for this position
  • Must be available to travel to Thunder Bay and Winnipeg
  • Must be able to travel by air to six remote KO First Nations communities
  • Occasional overnight and multi-day travel may be required
  • Flexibility to attend events outside regular office hours when necessary

WORKING RELATIONSHIPS

This position works under the direct supervision of the CFS Program Coordinator and collaborates closely with the JP Program Team Lead to ensure all program events are effectively planned and delivered.

This is a non existing position.

Salary: $60000.00
