Position Summary
WCS Canada is seeking a skilled and versatile budget manager to i) support the implementation of Sage Intacct Planning (SIP) as the organizations budgeting platform ii) develop tools and processes to support effective budget management and iii) provide financial budget and general program management support to WCS Canadas Key Biodiversity Areas (KBA) Program a conservation program of WCS Canada.
This position will provide temporary leave coverage at a pivotal moment in transforming the organizations financial systems. WCS Canada is at the tail end of migrating to Sage Intacct as a financial management platform and in the early stages of implementing Sage Intacct Planning (SIP) as its budget management platform working with a third-party implementing partner.
The individual in this role is expected to be highly motivated and proactive in identifying issues and developing solutions. They will bring demonstrated experience working with Sage Intacct and Sage Intacct Planning and providing systems support and training with these systems. The position requires sound judgment tact and the ability to anticipate challenges and recommend practical effective solutions.
Position Objectives
- Successfully plan manage and deliver technology transformation projects that improve organizational systems and processes.
- Identify gaps in existing financial and budgeting systems and provide analytical recommendations for improvements.
- Support smooth implementation of new tools and systems through effective change management training and user support.
- Provide financial and budget management for the Key Biodiversity Areas (KBA) Program.
- Serve as the primary point of contact between the KBA program assigned initiatives and the central management finance Advancement and communications teams within the WCS Canada head office.
Principal Responsibilities
Technology Transformation and Process Improvement
- Provide technical and project management support for the implementation of Sage Intacct Planning.
- Coordinate with internal teams and external vendors to ensure that solutions are integrated and effective.
- Serve as a subject matter expert for implemented systems and contribute to the development of organizational best practices.
- Prepare training materials and deliver training sessions for internal end users.
- Lead change management activities that support user adoption and limit operational disruption.
- Monitor postimplementation outcomes and support ongoing optimization efforts.
Key Biodiversity Areas Program
- Manage and maintain the annual operating budget and forecasts to the KBA program.
- Oversee project spending to ensure compliance with grant requirements including accurate allocation of payroll and program expenses.
- Prepare and submit monthly expense reports with complete and compliant supporting documentation.
- Produce financial reports as required including analytical insights that support decision-making
- Track and administer deadlines related to proposals and grant reporting.
- Provide procurement and purchasing support for project activities as needed.
- Assist with the preparation execution and renewal of service and consulting contracts.
- Maintain shared program files and data ensuring proper storage and security.
- Provide support for program logistics and travel arrangements for meetings workshops and events as needed.
- Provide additional program support as required.
Organization-wide
- Support WCS Canadas goal of transforming WCS Canadas conservation practice through reconciliation with Indigenous Peoples.
- Contribute to creating a diverse equitable and inclusive workplace that promotes engagement and belonging.
Required Qualifications/Skills/Experience
- 5 years of experience in a comparable position.
- Experience with financial management including:
- Budget preparation and tracking
- Preparation of expense reports invoice payments financial reports using various software programs.
- Tracking advance balances and assisting with the approval and submission of advance and reimbursement requests.
- Proven experience with Sage Intacct and Sage Intacct Planning.
- Experience with effectively communicating complex financial information.
- Experience managing legal documents including contracts with service providers and funder agreements.
- Intermediate level of experience with MS 365 specifically OneDrive SharePoint Word and PowerPoint.
- Advanced MS Excel skills including use of advanced formulas data summaries Power Query etc.
- Comfortable in a digital environment and adaptable to learning new applications and systems.
- Strong problem-solving skills detail-oriented and resourceful.
- Outstanding attention to detail and organizational skills.
- Strong verbal and written communication skills.
- Demonstrated critical thinking skills.
- Strong time management skills and adaptability when facing competing priorities.
- Ability to effectively prioritize and manage a high volume of diverse projects with hard deadlines.

Other Desirable Qualifications/Skills/Experience
- Experience working in the not-for-profit or charitable sector.
- Experience with ExpensePoint SnipeIT Asset Management or ContractSafe software.
