Job Summary

Job Title: Housing Coordinator
Reports to: Director of Housing
FLSA Code: Full-time Exempt
Hours: 40-hour workweek; weekends and evening hours as needed
Program Area: Family Housing
Location: The Residences 3340 W. Carroll Ave Chicago IL 60624

POSITION SUMMARY
The Housing Coordinator is responsible for the oversight of day-to-day operations property management functions and community standards of The Residences a 14-unit family housing program. This role ensures that the building operates with structure consistency and excellence supporting families as lease-holders within a trauma-responsive community-centered environment. This position also supervises Program Assistants and plays a key role in maintaining a radically hospitable well-functioning residential community aligned with Breakthroughs mission and values.

ESSENTIAL RESPONSIBILITIES/FUNCTIONS
Property Management & Lease Administration
  • Execute lease agreements and program-related housing documents with residents.
  • Ensure all lease addendums including program participation requirements are clearly communicated and upheld.
  • In coordination with the Family Housing Case Manager maintain complete and accurate tenant files including leases quarterly income verifications and required documentation.
  • Oversee lease renewals notices and compliance with applicable housing regulations.
Rent Collection & Financial Accountability
  • Collect monthly rent and maintain accurate payment records
  • Monitor rent compliance and proactively address late or missed payments in collaboration with the Family Housing Case Manager
  • Support families in understanding rent obligations and connect them to coaching support when financial challenges arise
  • Prepare rent reports and communicate financial status to the Housing Director
Building Operations & Facilities Coordination
  • Serve as the primary liaison to the Facilities Manager Coordinator for all maintenance repairs and building needs
  • Supervise schedule and support Program Assistants providing 24-hour building coverage
  • Provide coaching performance feedback and accountability for team members
  • Ensure timely response to maintenance requests and track completion
  • Oversee unit inspections safety checks and overall building condition
  • Maintain systems for work orders inventory and vendor coordination
  • Ensure the building remains safe clean and fully operational at all times
Community Standards & Resident Accountability
  • Uphold community expectations lease terms and shared living standards with consistency and fairness
  • Address lease violations complaints grievances and community concerns using a trauma-responsive and solutions-oriented approach
  • Document incidents and support the Housing Director in formal actions when necessary
Resident Experience & Building Coordination
  • Assign mailboxes and manage building logistics for new move-ins
  • Support the onboarding of new residents in partnership with the Family Housing Case Manager
  • Oversee shared spaces scheduling systems and general building use (laundry community rooms etc.)
  • Help maintain a welcoming organized and respectful environment for all residents
  • Ensure consistent front-line presence responsiveness and adherence to expectations
Cross-Team Collaboration
  • Partner closely with the Family Housing Case Manager to align on family progress challenges and support needs
  • Maintain clear boundaries between coaching (Case Manager role) and compliance (Operations role) while working in coordination
Documentation & Reporting
  • Maintain accurate records related to leases rent incidents grievances and building operations
  • Enter and track relevant data in organizational systems (Salesforce)
  • Prepare regular reports on occupancy rent collection maintenance and compliance
Perform other duties as assigned

QUALIFICATIONS
  • Bachelors degree in Business Administration Property Management Human Services or related field
  • Three plus (3) years of experience in property management housing operations or residential program management
  • Experience managing leases rent collection and tenant relations
  • Demonstrated experience supervising staff
  • Strong organizational and administrative skills
  • Ability to manage multiple priorities and respond to urgent situations
  • Experience working with diverse populations including families experiencing housing instability
  • Experience with Microsoft Office as well as the willingness to become proficient in other software packages and programs
  • Excellent oral and written communication negotiation and consensus-building skills.
  • Flexibility and team oriented
  • Maintain a high degree of sensitivity tact and diplomacy during stressful situations.
  • Prepare accurate reports

PHYSICAL REQUIREMENTS AND WORKING CONDITIONS
Work Environment

While performing the duties of this job the employee will work in a multi-purpose facility and/or outdoors and thus will be exposed to weather conditions prevalent at the time. The noise level in the work environment is usually moderate but can be high depending on the activities in the facility.

Physical Demands
While performing the duties of this job the employee is frequently required to walk and/or sit; use hands and fingers to feel objects tools or controls reach with hands and arms; balance; stoop; regularly talk or hear. The employee must be able to bend stoop pull lift as well as have overhead extension of arms. Must be able to stand for long periods of time; be able to lift carry or move at least 50 pounds. Must adhere to proper handling and lifting techniques. Specific vision abilities required by the job include close vision distance vision peripheral vision depth perception and the ability to adjust focus.

Safety Requirements
Prior to the first day of work must complete a criminal background and sex offender clearance.

The employee will generally use general office equipment including but not limited to telephone computer calculator copier overhead projector paper shredder paper cutter and filing systems.

Vacation Days-Full-time employees in this position are eligible to accrue vacation days at a rate of 6.67 13.33 days per month based on tenure with the organization.

Personal Days-Full-time employees in this position are eligible for up to 3 personal days annually pro-rated in year one.

Sick Days-Full-time employees in this position are eligible for up to 10 sick days annually pro-rated in year one.

COMPENSATION
The actualsalarywithin the range is determined by many factors including but not limited to skills experience education and internal equity.
$55000 - $60000/annually
