Purpose of the post:
The Administrator will be responsible for a variety of tasks. Duties include but are not limited to the following:
Responsibilities
Contractor Management: Maintaining databases of contractors managing contracts and coordinating maintenance schedules.
Ticket Management: Handling facilities-related tickets and managing the facilities inbox.
Data Management and Reporting: Analysing data generating reports and maintaining records related to facilities management.
Purchase Orders and Invoices: Processing purchase orders and invoices and assisting with budget management.
Document Control: Maintaining and updating facility-related documents policies and procedures.
Communication and Coordination: Communicating with various stakeholders including staff contractors and vendors to ensure smooth operations.
Maintenance Coordination: Scheduling maintenance works advising the Facilities Manager on issues and timely completion of tasks.
Monitoring system performance and troubleshooting issues.
General Administrative Support: Order supplies compile monthly reports as required.
Record Keeping: Maintain accurate records of maintenance activities including work orders inventory and compliance with safety regulations.
