About the role
HealthWISE is seeking a motivated and organised Administration Assistant to support the effective delivery of healthcare services in Tamworth. Reporting to the Corporate Services Manager this roleprovides high-quality administrative and operational support to clients staff and stakeholders. You will play a key role in creating a welcoming efficient environment while ensuring accurate records smooth day-to-day operations and a strong focus on client service confidentiality and compliance.
Key responsibilities
- Provide front desk support including greeting clients and answering phone enquiries
- Manage client records and appointments using clinical software systems
- Triage and respond to emails across shared inboxes
- Support visiting specialists and clinic operations
- Process invoices manage mail and maintain office supplies
- Coordinate maintenance requests and office operations
- Assist with fleet management WHS checks and compliance requirements
- Support meetings room bookings and general administrative tasks
- Maintain registers records and reporting systems
- Contribute to a positive culturally safe and professional workplace
About you
Essential:
- Previous administration or clerical experience (healthcare preferred)
- Strong computer skills including Microsoft Office (Word Excel Outlook Teams)
- High level of accuracy in data entry and record keeping
- Ability to work independently and as part of a team
- Strong communication skills and professional manner
- Ability to maintain confidentiality and follow privacy requirements
- Excellent attention to detail organisation and time management
- Reliability professionalism and consistent attendance
- Ability to remain calm under pressure
- Understanding of workplace safety and infection control practices
Desirable:
- Experience with medical software (e.g. Best Practice)
- Experience in a primary healthcare setting
- First Aid and CPR certification
- Certificate III or IV in Health or Business Administration
- Experience with workplace health and safety processes
