The North Australian Aboriginal Family Legal Service(NAAFLS) is a not-for-profit organisation delivering holistic legal and supportservices to Aboriginal and Torres Strait Islander people experiencing domesticfamily and sexual violence. About the Role

Reporting to the Chief Executive Officer (CEO) the Executive Assistant provides high-level administrative support to the CEO while also supporting the Principal Legal Officer (PLO) through delegated administrative tasks as required. This is a pivotal role within the organisation responsible for ensuring the smooth day-to-day operation of the Executive Office. You will manage competing priorities maintain confidentiality and build strong working relationships with internal and external stakeholders. The role requires a highly organised proactive and professional individual with strong attention to detail sound judgement and the ability to work both independently and collaboratively in a fast-pacedenvironment.

Responsibilities:

  • Provide high-level administrative support to the CEO including diary managementmeeting coordination and travel arrangements and support the PLO through delegated administrative tasks as required
  • Prepare draft and format correspondence reports presentations and briefingpapers
  • Manage incoming communications ensuring timely responses and appropriateescalation
  • Coordinate internal and external meetings including preparation of agendas minutes and follow-up actions
  • Develop and maintain an annual schedule of key meetings Board and Committeedates and organisational events
  • Maintain filing systems records and document management processes includingconfidential documentation
  • Coordinate travel logistics and event arrangements in collaboration with internalstakeholders
  • Act as a key point of contact for the Executive Office liaising professionally with internal and external stakeholders.

About You

Essential:

  • Demonstrated experience in an Executive Assistant or similar role supporting seniorleadership
  • Strong organisational and time management skills with the ability to managecompeting priorities
  • Excellent written and verbal communication skills with high attention to detail
  • High level of professionalism discretion and ability to maintainconfidentiality
  • Strong stakeholder engagement and relationship-building skills
  • Proficiency in Microsoft Office and digital systems
  • Ability to work independently and as part of a team
  • Experience engaging respectfully with Aboriginal and Torres Strait Islander staff andcommunities.

Desirable:

  • Experience in a not-for-profit or Aboriginal Community Controlled Organisation
  • Experience supporting governance processes
  • Relevant qualifications in Business Administration or similar
  • Experience coordinating events travel or executive-level logistics
