What can you expect
As the Administrative Assistant you will work onsite in Tacoma WA and will be responsible for providing professional front desk and administrative support to ensure efficient day-to-day office this position you will greet visitors answer and direct incoming calls manage mail and correspondence process invoices and support general office functions. You will serve as the first point of contact for visitors clients and callers while also providing administrative support to multiple departments. You will be expected to maintain positive business relationships exercise professionalism and confidentiality and contribute to a productive and organized work environment.
How will you do it
- Greet and assist visitors ensuring they are welcomed professionally and directed to the appropriate location or contact.
- Answer screen and route incoming phone calls in a courteous and professional manner.
- Perform general office duties including copying scanning filing data entry and document management.
- Collect sort and distribute daily mail packages and deliveries.
- Process invoices including scanning filing and maintaining electronic and hard-copy records.
- Manage the flow of overhead invoices from the AP email inbox to OnBase for coding and processing.
- Assist with credit card reconciliation and related administrative support functions.
- Schedule conference rooms and coordinate meeting setup as needed.
- Order maintain and track inventory of office and kitchen supplies.
- Perform errands and deliveries in support of daily business operations.
- Maintain organized and accurate records in accordance with company procedures.
- Work in a constant state of alertness and in a safe manner.
- Perform other duties as assigned.
Supervisory Functions:
This position does not have supervisory responsibilities.
Knowledge Skills & Abilities:
- Basic knowledge of administrative and accounting principles practices and procedures.
- Working knowledge of office systems processes and administrative best practices.
- Ability to maintain confidentiality and handle sensitive information with discretion and professionalism.
- Ability to work effectively in a Native Corporation multi-business environment.
- Proficiency with Microsoft Office Suite including Word Excel Outlook and PowerPoint.
- Ability to use collaboration and communication tools such as Microsoft Teams and Zoom.
- Strong verbal and written communication skills with the ability to interact professionally with employees clients vendors and business partners.
- Strong organizational time management and prioritization skills with the ability to manage multiple tasks and deadlines.
- Accurate data entry skills with strong attention to detail.
- Ability to adapt to changing priorities workflows and business needs in a fast-paced environment.
- Familiarity with document management systems and electronic filing practices.
- Strong customer service skills with a professional and service-oriented approach.
- Ability to follow verbal and written instructions and complete assignments efficiently and accurately.
- Ability to work independently with minimal supervision while appropriately escalating issues when necessary.
- Ability to operate a motor vehicle in a safe and responsible manner.
Who is Tunista Construction looking for
Minimum Qualifications:
- High School Diploma or equivalent required.
- Valid state drivers license and ability to operate a vehicle in accordance with the Companys Driving Policy.
- Ability to pass a drug test driving and background screening.
Preferred Qualifications:
- Associates or bachelors degree in Business Administration Office Management or a related field preferred.
- One (1) year or more of previous experience in an administrative support receptionist or office coordination role preferred.
