Director of Operations

Overview We are seeking a seasoned hands-on Director of Operations to serve as the strategic and functional backbone of our business. We are a woman-owned USDA Organic tea company specializing in a unique line of bagless pressed teas. This is a high-impact role for an entrepreneurial leader who thrives in a small-team environment and is ready to own the demand planning supply chain and financial operations oversight for a growing CPG brand. This is not a purely supervisory role; you will be in the systems daily driving continuity across a lean operation in an active growth and profitability phase.

Work Structure & Requirements

• Type: Part-Time Independent Contractor.
• Hours: 2530 hours per week.
• Schedule: MondayFriday PST business hours.
• Location: Remote (US-based preferred).
• Reporting: Reports directly to the Founder & CEO.
• Team Oversight: Manage and direct an Ops Admin who handles day-to-day transaction processing and 3PL coordination.

Key Responsibilities

1. Demand Planning & Supply Chain

• Own the demand forecast and translate projections into weekly production schedules and purchase plans.
• Manage ingredient and packaging procurement including vendor selection PO issuance and price negotiation.
• Maintain reorder points and safety stock levels across all SKUs while balancing inventory investment against cash flow constraints.
• Model scenarios for demand and supply changes and communicate implications to leadership.

2. Production & Kitchen Operations

• Own the production schedule in coordination with the Production Manager.
• Oversee the quality program including batch production records (BPRs) product specs and organic certification maintenance.
• Manage production assemblies and cost allocation in the inventory management system.
• Ensure the facility remains audit-ready on an ongoing basis.

3. 3PL & Logistics Oversight

• Oversee 3PL relationships at a strategic level and direct the Ops Admin on daily coordination.
• Review and dispute incorrect 3PL charges (freight kitting storage) to advocate for the business.
• Manage outbound logistics strategy across DTC Amazon and wholesale channels.

4. Wholesale & Retail Channel Operations

• Oversee operations for active wholesale accounts and manage TrueCommerce/EDI account oversight.
• Own deductions tracking and dispute management for distributors and retailers.
• Ensure routing guide compliance and customer-specific requirements are met.

5. Financial Operations & Systems Integrity

• Hold invoice approval authority across freight POs and vendor invoices via .
• Contribute to weekly cash flow planning and review monthly financials for operational expense accuracy.
• Oversee data integrity across all platforms (DEAR/Cin7 Core Extensiv QuickBooks Shopify).
• Identify process inefficiencies and implement scalable solutions and SOPs.

Required Skills & Experience

• Experience: 5 years in operations supply chain or logistics with at least 2 years in a CPG food manufacturing or e-commerce environment.
• System Mastery: Hands-on experience with DEAR/Cin7 Core is non-negotiable; you will be in this system daily.
• Planning: Demonstrated experience owning demand planning and procurement in a small-team environment.
• Judgment: Comfortable making purchasing decisions in a cash-constrained environment.
• Communication: Strong written and verbal communication for professional representation with vendors and partners.

Preferred Skills

• Experience with Extensiv (WMS) TrueCommerce (EDI) or similar platforms.
• Familiarity with organic certification (CCOF) FSMA compliance or food safety programs.
• QuickBooks familiarity and comfort reading P&Ls and cash flow statements.
