The Wyoming State Penitentiary is seeking an Office Support Specialist I to assist in our Case Management Department. This position is responsible for a wide range of general and agency-specific office and administrative tasks. The desired candidate will be self-motivated detail-oriented and have a good understanding of a variety of software programs. This position provides support to the Unit Manager and Case Management staff and may work with the inmate population. ESSENTIAL FUNCTIONS: The listed functions are illustrative only and are not intended to describe every function that may be performed in the job level.


  • Acts as a specialist in the assigned program area performing the most complex technical duties including legal secretary responsibilities.
  • Performs leads or supervises a wide variety of moderate to complex program and operational support duties.
  • Serves as subject matter expert.
  • Applies knowledge of programmatic and administrative requirements.
  • Resolves problems and makes recommendations for improvements.
  • Performs specialized tasks and coordinates general office functions such as budget legal work administrative property management travel arrangements procurement personnel information systems or fiscal duties and provides staff training.
  • Conducts research troubleshoots office systems or procedures for efficiency and accuracy; collects organizes and detailed writing the required documentation in answering queries.
  • Coordinates and/or acts as a liaison between the agency or work unit and other agencies.
  • Processes monthly electronic filing; corresponds with operators regarding production filing; sets up new operators for electronic filing.
  • Maintains financial or other records; verifies statistical reports for accuracy and completeness; assists with publishing statistical reports.
  • Accurately maintains agency files and records; inputs data into databases.
  • Prepares reports; verifies computer systems databases and coded data for accuracy.
  • Responds verbally and/or in writing to requests for information.
  • Screens and correct documents for procedural compliance; evaluate the information for accuracy.
  • Provides customer service to inmates and staff acts as a resource and explains rules and procedures to co-workers and/or inmates.
  • Responsible for inventory assets.
  • Performs administrative duties requiring considerable judgment involving fiscal human resources or other specific program areas.
  • Resolves some light computer issues/concerns.
  • Interviews customers/clients to evaluate and determine needs.
  • Refers customers to appropriate supportive service agencies.
  • Tracks information.
  • Maintains and reviews case files to determine actions to be taken.
  • Evaluate information for accuracy.
  • Assures procurement process is managed appropriately and according to established procedures.
  • Responsible for ensuring a safe and enjoyable workplace including participation in initiatives designed to promote a positive work environment

Qualifications

PREFERENCES:


Preference may be given to candidates who have strong knowledge of Excel and Microsoft Word.
Preference may be given to candidates with2-4 years of progressive work experience in a clerical setting.
Preference may be given to candidates whohave work experience in a correctional or secure setting.


KNOWLEDGE:

  • Knowledge of applicable federal state and local laws codes regulations and policies technical processes and procedures related to the department.
  • Knowledge of the principles and procedures of financial record keeping and reporting basic accounts payable and purchasing.
  • Knowledge of the principles and practices of employee supervision training and evaluation.
  • Knowledge of techniques for providing a high level of customer service.



MINIMUM QUALIFICATIONS:

Education:

Associates Degree (typically in Business)


Experience:

0-1 year of progressive work experience (typically in Business Office Communications) with acquired knowledge at the level of an Office Assistant II


OR


Education & ExperienceSubstitution:

2-4 years of progressive work experience (typically in Business Office Communications) with acquired knowledge at the level of an Office Assistant II

Necessary Special Requirements

PHYSICAL WORKING CONDITIONS:

  • Typically the employee may sit comfortably to perform the work; however there may be some walking standing bending carrying light items driving an automobile etc.
  • Lifting/grasping up to 20 pounds on an occasional to regular basiswithout assistance
  • Walking on cement floors on an occasional to regular basis
  • Walking up and down stairs on an occasional basis
  • Stooping bending kneeling and crouching on an occasional basis
  • Reaching on a regular basis
  • Typing/Repetitive motion on a frequent basis
  • Talking/hearing on a frequent basis
  • Seeing: the visual ability to perform an activity such as analyzing data and figures viewing computer terminal and extensive reading
  • Pre-service training is required which includes Krav Maga defensive tactics.
