Job Summary:
Our Client in Camden NJ is seeking an experienced Administrative Coordinator to support their Service and Quality department. This is a one-year temporary opportunity paying $25$30/hr depending on experience. The schedule for this position is Monday through Friday 8:30 AM to 5:00 PM. This role will provide comprehensive administrative and financial coordination support while ensuring consistency accuracy and efficiency across departmental processes.
Duties would include but are not limited to:
- Provide administrative support across the Service and Quality department
- Manage invoice intake assessment coding processing and confirmation
- Coordinate department G&A and Capital budget tracking and accounting using Inspyrus and related systems
- Coordinate New Vendor Packet processing with Accounting
- Prepare invoices for distributor partners and receive and document payment information
- Facilitate reproduction service requests including printing and business cards
- Process export requests and maintain required records
- Process claims for retailer technical training travel reimbursements
- Administer no-show fee billing
- Schedule and coordinate internal and external meetings using SOA Travel
- Create document and maintain standard operating procedures for department workflows
- Ensure process continuity accuracy and consistency across all administrative functions
Requirements:
- Excellent professional and interpersonal skills with the ability to interact effectively with all levels of the organization including Service and Quality teams Accounting and external vendors
- Strong organizational skills with the ability to prioritize multitask and adapt to changing workloads
- Advanced proficiency in Microsoft Office Suite including Outlook Word Excel and PowerPoint
- Experience coordinating billing invoicing and administrative processes
Preferred Qualifications:
- Working knowledge of Inspyrus and Oracle financial systems for billing and budgeting
- Familiarity with Export / Import compliance guidelines
