Summary: The director of campus operations ensures a safe functional and efficient environment for students faculty and staff by managing facilities and campus security serving as a key leader in operationalizing the daily workflow and long-term optimization of the campus.

Campus Operations

  • Facilities Management
    • Plans oversees and assesses the use of campus facilities for school programs to assure adequate use and preparation of space
    • Manages facility team meetings to align on short and long-term campus needs and programs
    • Participates in long-term strategic planning for facility stewardship renovations and building development
    • Oversees maintenance construction projects and non-academic services
    • Provides personnel management supervision and development opportunities for Hines Building Maintenance (HBM) staff; assures annual goals and assessment processes for all direct reports; manages projects and communication with team members on campus-wide initiatives.
  • School Calendar and Events
    • In collaboration with the Student Program Team develop and review the school calendar. Updates and aligns the facilities calendar with the school calendar.
    • Supports campus events facility use and needs with respective departments and team members.
  • Safety and Security
    • Maintains up to date safety protocol for campus security; oversees safety drills in compliance with standards providing orientation for employees and students.
    • Assures safe school transportation to and from campus for programs.
    • Works with the director of facilities and the director of student life to ensure student faculty and staff safety through training protocols and supervision.

Internal Processes and Vendor Management

  • Execute business best practices to streamline operations digitize records and optimize efficiency
  • Collaborate with the chief financial officer to improve and update business policies quarterly and annually with oversight over the following:
    • Contract Lead - Manager of bids agreements vendor communication scope of work scheduling changes annual maintenance
    • Insurance Risk Manager - liaising on proposals annual updates budget projections to submit to the finance committee and management of insurance documentation and claims (car accident trips)
  • Assist the chief financial officer in managing the annual budget including variance analysis invoice inquiries and capital estimates.
  • Support the accounting team as necessary partnering on budget requests variance analysis and invoice inquiries and special projects ensuring the efficacy of the accounting system interface the monthly closing process and the preparation of check requests and vendor invoices in accordance with policy.
  • Assist with acquisition of departmental equipment and tools in accordance with school purchasing policies ensuring furniture and equipment inventory is up to date.
  • Distribute retrieve and store keys in accordance with school policy maintaining a lock box accessible with the chief financial officer and human resources team.
  • Maintain a digital contract library on the server contracts files on the R: drive.
  • Responsible for AkitaBox maintenance (new tickets needs and closures) ensuring the access and ID assignment for HBM employees.
  • Responsible for driving the teams digital transformation ensuring key processes and functions are restructured to virtual platforms and systems optimizing pre-planning to eliminate in-person one-time expenses

Administrative Team Support

  • Works collaboratively to support the administrative team and institutional strategic priorities.
  • Centers the mission hallmarks graduation outcomes womens leadership race equity diversity and inclusion (REDI)
  • Communicates bimonthly with the chief financial officer and the director of co-curricular programs to align and forecast campus needs to ensure accountability and execution across teams programs and departments.
  • Shapes big picture perspective with the team for communication solution-finding and short and long-term planning purposes.
  • Models professionalism for and with colleagues.



Qualifications

Minimum Qualifications:

  • Bachelors degree in business engineering or facilities management
  • 3-5 years of experience in maintenance construction oversight or operations management
  • 3-5 years of leadership experience

Preferred Qualifications:

  • Knowledge of safety regulations (OSHA AHERA ADA) adolescent health and safety personnel management
  • Technical experience in building systems (HVAC electrical plumbing construction maintenance)
  • Budget management
