Job Summary

The role

The purpose of the role is to provide support to the whole life cycle of the contingent worker process. This will be initially to focus on the UK whilst adapting further to cover locations where we have offices across Continental Europe. Contingent workers cover consultants contractors and temporary suppliers who are not employed by the Firm.

You will be responsible for various workstreams relating to our contingent workforce and help ensure process compliance and governance is adhered to.
 

Who you will work with

You will sit within a team of professional recruiters working closely with the wider HR function and other teams across the business.

You will also be communicating regularly with hiring managers who require the services of a contingent worker or who need to extend the services of an existing contingent worker. This may involve liaising with other internal teams such as Tax Procurement and Risk to ensure compliance with any relevant regulations.

You will be communicating and liaising with contingent workers and suppliers to maintain our compliance obligations.


What you will be responsible for

You will be responsible for ensuring that any contingent worker that the firm engages with is onboarded correctly into the Firm and contracted via an approved model. You will also provide on-going support to hiring managers and act as a point of contact for contingent workers as well as being responsible for monitoring the administration of various contingent worker processes carried out by the GSD team.

Your remit will also include carrying out regular audits on the contingent worker engagements and information stored in Workday to ensure the consistency of data is accurate. This will involve liaising closely with the GSD Procurement and the Tax team to identify further efficiencies with the contingent worker process.

You will lead on various contingent worker project streams that arise from the results of any audits or process improvement initiatives.
 

What you will do

  • Manage the onboarding process for contingent workers by liaising closely with the GSD team to ensure contingent workers are hired on to Workday accurately and in a timely manner.
  • Ensure that all contingent workers are engaged on acceptable arrangements as set out by the Firm.
  • Create and send contingent worker agreements and extension paperwork.
  • Liaise with HR Business Partners Risk Tax Finance Procurement and other internal departments where appropriate regarding the engagement of contingent workers.
  • When required work with hiring managers to advise on IR35 and to complete the IR35 questionnaire and submit to Tax for review.
  • Monitor all agency workers and ensure compliance with Agency Worker Regulations (AWR).
  • Lead and coordinate the annual Ex-Partner consultant process involving liaising with Partners to discuss any extensions and advise on terms of engagement for new consultants.
  • Coordinating biannual reviews with Tax HR and Finance of all contingent workers.
  • Maintaining and managing of all contingent worker records terms conditions and renewal dates in Workday and iManage.
  • Continually monitor the efficiency and effectiveness of the contingent worker processes and suggest/implement improvements.
  • Conducting annual supplier audits and working with the Procurement team to ensure contractual terms contain relevant protections around payroll liability.
     

Qualifications :

Your experience

  • You will have experience in an administration role ideally gained within a professional or corporate environment.
  • You will be proactive and be able to drive forward projects with minimal supervision.
  • Ideally you will have experience of using a HR information system (ideally Workday) and have experience of working closely with offshore teams.
  • A solid understanding in relation to contingent worker engagements and specifically IR35 and HRMC obligations.
  • You will have experience of advising senior stakeholders on policies and procedures.
  • You will be able to demonstrate strong organisational skills and the ability to coordinate multiple tasks simultaneously and prioritise urgent requests.
  • You will have experience in using your judgement to provide solutions to complex problems.
  • You will be highly client focused with strong influencing communication and team working skills.
  • The ability to communicate confidently by telephone and face to face representing the firm.
  • You will be able to demonstrate ability to quickly grasp multiple IT systems.
  • Proven ability to work with urgency in a fast-paced role and operate under pressure with competing demands.
  • A strong and dedicated team player with the ability to keep colleagues updated and manage expectations.

This role follows our balanced hybrid working approach and as long as business needs allow you will be supported to work in a hybrid way with the expectation of working from the office for a minimum of 50% of your time.
