Position: Club Concierge
Classification: Full-time non-exempt
Schedule: Monday to Friday 8AM-4:30PM
Salary range: $22.00-24.00 per hour based on experience

Summary: The Club Concierge is responsible for facilitating communication and organization between the Executive Leadership Board of Governors and all committees. Duties include coordinating all Board and Committee meetings maintaining a master calendar of all Member and Staff meetings and meeting rooms club activities and directing both incoming and outgoing calls emails and letters.
Essential Functions
1. Prepares monthly meeting information notices and other items for the Board of Governors meetings and Committee meetings.
2. Maintains a master calendar of all Member and Leadership meetings commitments member and non-member events in Outlook.
3. Ensure that meeting rooms are set as scheduled for Leadership Committee and Board meetings.
4. Assists the Leadership team with preparation of presentation materials.
5. Maintains all Committee lists and assists the committee chairs in scheduling meetings and sending out the meeting notification and zoom links.
6. Assists with booking and coordinating Leadership travel itineraries for conferences workshops etc.
7. Operates a computer to enter retrieve review or modify data; utilizes Microsoft Office ForeTees Jonas and other software programs at a high level of proficiency.
8. Answers phone calls for the Clubhouse takes or relays messages directs calls to the appropriate personnel. Makes and responds to phone calls when necessary.
9. Assists Members and their Guests in an efficient courteous and professional manner that maintains high standards of service and hospitality.
10. Responsible for the organization ordering and management of office storage and supplies.
11. Sorts and distributes incoming mail; prepares outgoing mail with necessary postage.
12. Operates a variety of equipment including copiers fax machine postage machine coordinates repairs and maintenance of equipment with outside vendors.
13. Liaison for Club to the phone/printer company. Responsible for submitting tickets and coordinating site visits.
14. Assists the Membership & Communications Director with proofreading and editing communications before publication (i.e. monthly Newsletter Member e-mail blasts etc.).
15. Maintains the internal Club phone directory.
16. Acts as a member of the Clubs Emergency Response Team.
17. Assists with additional administrative tasks as needed.
Marginal Functions
1. Assists with coordinating the Annual Reports and Annual Meeting details.
2. Coordinates details of all changes in Officers and Board Members annually.
3. Assists department managers with various projects as requested.
4. Supports and assists the business office and administrative staff on various projects.
5. Other duties as assigned by the supervisor.
Intellectual Demands

2. The ability to maintain strict confidentiality is required.
3. Previous experience in an administrative position.
4. Experience working in a fast-paced front office environment.
5. Ability to function with high degree of independence and creativity.
6. Must be able to work in a rapidly changing work environment adapt to changes manage competing demands and handle frequent change delays or unexpected events.
7. Ability to prioritize and plan work activities and use time efficiently.
8. Must have exceptional computer skills including Microsoft Office and Adobe.
9. Experience with Jonas computer system and ForeTees software is preferred but not required.
10. Detail oriented with the ability to exercise good time management skills.
11. Must be able to demonstrate accuracy and thoroughness and monitors own work to ensure quality.
Physical Demands
1. Extended periods of sitting.
2. Occasionally lifts and carries objects weighing up to 35 pounds.
