The Department of Public Safety and Correctional Services (DPSCS) is seeking dedicated candidates to fill important roles within our department. POSITION DUTIES
The main purpose of thisposition is to assist the Director of the Commitment Records Unit byidentifying analyzing and resolving administrative managerial and operationalday to day office procedures and concerns. Act as the liaison between DPDS andcriminal justice agencies on documentation operational procedure policiesthat may affect the security and public safety mission of the Division ofPretrial Detention and Services.
Assist the Director inestablishing policies goals and objectives for the central records unit.
Serves as the liaison betweenthe DPDS and federal state county and municipal police departments sheriffoffices correctional facilities parole and probation agencies correctionalinstitutions detention centers.
Assist in planning directingand evaluating the daily operations of the Central Records Office which includethe following:
Entering data into theOffender Case Management System (OCMS) computer system;
Processing pretrial mentalhealth sentenced and federal Incarcerated Individual commitments;
Processing writ detainerswarrants indictments commitment and added charge documents;
Processing subpoenas;Processing of extradition bail release and other court orders;
Conducting warrant checks viaNCIC MILES JIS and CHASE; Processing hit confirmations;
Computing sentence diminutioncredits and release dates; Preparing Incarcerated Individual records for bailreview trial and other court proceedings;
Preparing IncarceratedIndividual records for transfer to other correctional and law enforcementjurisdictions;
Maintaining active andinactive Incarcerated Individual records; Verifying Incarcerated Individualrecords; Resolving discrepancies in Incarcerated Individual commitment andcriminal history data;
Microfilming andrepositioning Incarcerated Individual records;
Disseminating criminalhistory information to the public and to criminal justice agencies; IdentifyingIncarcerated Individuals for parole hearings and sentence commutations;
Producing and disseminatingpopulation reports and statistical data; and a range of other records keepingand data processing activities.
MINIMUM QUALIFICATIONS
Education: Graduation from anaccredited high school or possession of a high school equivalency certificate.
Experience: Six years ofadministrative staff or professional work.
Notes:
1. Candidates may substitute 30college credit hours from an accredited college or university for each year upto four years of the required experience.
2. Candidates may substitute thepossession of a Bachelors degree from an accredited college or university andtwo years of experience in administrative staff or professional work for therequired experience.
3. Candidates may substitute thepossession of a Masters degree from an accredited college or university forthe required experience.
4. Candidates may substitute Forces military service experience as a commissioned officer involvingstaff work related to the administration of rules regulations policyprocedures and processes or overseeing or coordinating unit operations orfunctioning as a staff assistant to a higher ranking commissioned officer on ayear-for-year basis for the required experience.
DESIRED OR PREFERRED QUALIFICATIONS
5 years of experience reviewingverifying and interpreting WRITS Court Orders Sentence Commitments Courtand/or Immigration Detainers court releases court transfer orders andintake/bail review summaries to determine and resolve issues involving thecalculation of prison sentences in accordance with applicable laws and theregulations and policies of the Department of Public Safety and CorrectionalServices.
